Description:

Summary: The HR & Administrative Coordinator serves as a key support role to the Director of Administration and is responsible for assisting with recruiting, onboarding, employee relations support, investigations, benefits administration, HR recordkeeping, and other human resources functions. This position also provides administrative and front office support to ensure smooth daily operations. The role requires a fully bilingual (English/Spanish) professional capable of effectively communicating with and supporting a diverse workforce.

The ideal candidate will have Human Resources experience, strong organizational and communication skills, and the ability to maintain confidentiality and professionalism while supporting a diverse workforce.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

• Assist with recruiting efforts, including reviewing resumes, conducting initial phone screenings, scheduling interviews, and communicating with candidates.
• Coordinate onboarding activities and ensure all required employment documentation is completed accurately and timely.
• Assist with offboarding processes, including separation documentation and employee communications.
• Maintain electronic employee records and personnel files, ensuring documentation is accurate, complete, and compliant.

• Audit electronic employee records to ensure required documentation is complete and accurately maintained.
• Assist with employee relations matters and HR investigations, including conducting interviews, gathering information, maintaining documentation, and preparing summaries for management review.
• Support benefits administration and employee benefit communications.
• Assist with leave administration, policy communications, and employee inquiries.
• Maintain HR logs, reports, and tracking spreadsheets.
• Assist with Paylocity administration, employee data updates, reporting, recruiting functions, and other HR-related processes.
• Draft employee communications, letters, notices, and HR-related documentation as needed.
• Assist with policy implementation and ensure consistent application of company practices.
• Maintain strict confidentiality regarding employee, company, and investigation-related information.

Administrative Responsibilities

• Answer and direct incoming phone calls in a professional manner.
• Greet visitors and assist with front office coverage as needed.
• Receive, sort, and distribute incoming mail and deliveries.
• Maintain electronic records, document retention processes, and digital filing systems.
• Maintain organized electronic filing systems and ensure documentation is properly stored and retained.
• Assist with administrative projects and general office support.
• Support daily office operations and assist with special projects and business initiatives as assigned.

Requirements:

• Minimum 2–3 years of Human Resources experience required.
• Fully bilingual in English and Spanish required, including the ability to communicate professionally in both verbal and written formats and accurately translate employee communications, policies, investigations, and other HR-related documents.
• Experience supporting recruiting, onboarding, employee relations, workplace investigations, or other Human Resources functions required.
• Ability to maintain confidentiality and handle sensitive employee information with professionalism and discretion.
• Strong verbal and written communication skills in both English and Spanish.
• Experience using Paylocity or similar HR/payroll software preferred.
• Strong organizational skills with the ability to manage multiple priorities and deadlines.
• Ability to work independently, take initiative, and exercise sound judgment with minimal supervision.
• Proficient in Microsoft Word, Excel, Outlook, and related business applications.
• Experience providing administrative or office support in a professional environment preferred.

Physical Requirements

• Ability to sit, stand, walk, and use office equipment for extended periods of time.
• Ability to occasionally lift and carry files, office supplies, or boxes up to 25 pounds.
