Allen & Allen is seeking an experienced Accounting Specialist in our Richmond office. The Accounting Specialist is a full time, non-exempt level position, reporting to the Director of Finance. The Specialist performs financial, auditing, and administrative functions to ensure accuracy and timeliness in the financial aspects of client cases.
Key Responsibilities:
- Process financial activity related to client cases using the Firm's case management system (Salesforce), prepare financial reports, and provide responses to inquiries.
- Reconcile bank and credit card statements and investigate and resolve questions.
- Reconcile medical provider statements from various vendors and field questions from legal teams.
- Periodically review and audit team members for compliance with SOP.
- Prepare and facilitate bank deposits.
- Manage and/or maintain vendor files and documentation, including W-9 forms.
- Document accounting procedures and develop, update, and maintain workflow documentation and process maps to support operational efficiency.
- Serve as the primary resource (Tier 1) for team questions, providing guidance and assisting with issue resolution.
- Identify opportunities to improve processes, strengthen controls, and increase efficiency within the Accounting department.
- Perform other duties and special projects as assigned.
Skills & Competencies:
- Strong analytical, organizational, and problem-solving skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to prioritize multiple responsibilities and meet deadlines in a fast-paced environment.
- Ability to work independently while contributing effectively within a collaborative team.
- Proficiency with Microsoft Office, particularly Excel, Word, and Outlook.
- Familiarity with online banking platforms and general accounting systems.
- Demonstrated commitment to accuracy, confidentiality, and excellent customer service.
Education & Experience:
- Bachelor's degree in Accounting, Finance, Business Administration, or a related field required.
- One to three years of accounting, bookkeeping, or financial operations experience preferred.
- Experience with accounting software, ERP systems, or case management systems (Salesforce experience is a plus).
Physical & Environmental:
- Ability to lift 20 pounds unassisted?
- General office environment requiring sitting for long periods of time.
- Ability to bend and stop occasionally.
- Ability to stand for long periods of time.
- The ability to work in an office environment around others.
- The ability to exhibit manual dexterity and use standard office equipment such as phones, keyboards, and copiers for extended periods of time.
- Visual capability to work viewing a computer monitor for several hours of the day.
