DME Benefits Coordinator

Position: DME Benefits Coordinator

Department: Durable Medical Equipment (DME)

Reports To: Kristen Clark

Employment Type: Part Time

Position Summary

The DME Benefits Coordinator is responsible for providing the DME department additional administrative support with the processes involved in insurance restrictions and requirements when distributing durable medical equipment (DME) services. This position plays an important role in limiting potential billing issues such as denials and write-off scenarios, by identifying Medicare same-or-similar equipment, verifying applicable coverage requirements, and ensuring necessary patient waivers and documentation is in place prior to fitting.

This position requires strong customer service skills, attention to detail, and the ability to navigate insurance and Medicare systems, including the Noridian portal.

Essential Duties and Responsibilities

  • Verify patient demographic and contact information.
  • Verify patient insurance information and assist with collecting required documentation.
  • Access and review the Noridian portal to check Medicare eligibility, claim status, patient information, and other applicable DME-related information.
  • Assist with verifying Medicare requirements and documentation needed for DME services.
  • Communicate with clinical staff, referral sources, insurance companies, and patients as needed.
  • Enter and update patient information accurately in EPIC.
  • Scan, upload, file, and maintain patient and insurance documentation while maintaining confidentiality.
  • Assist with scheduling patient appointments and equipment pickups
  • Follow HIPAA and company privacy and security policies at all times.
  • Assist the billing and DME teams with administrative tasks and follow-up as needed.
  • Perform other duties related to front-office and DME operations as assigned.
Requirements:

Qualifications

  • High school diploma or equivalent
  • Basic computer skills and willingness to learn appropriate software systems.
  • Excellent communication and customer service skills.
  • Strong attention to detail and ability to follow established processes.
  • Ability to protect confidential patient information and comply with HIPAA requirements.
  • Basic understanding of insurance verification and medical documentation requirements, preferred.
