Customer Service Representative

Job Summary
We are seeking a friendly, dependable, and detail-oriented Customer Service Representative to join our team. This position serves as the first point of contact for customers, vendors, and visitors by providing exceptional customer service and administrative support. The ideal candidate is organized, communicates effectively, enjoys helping others, and thrives in a fast-paced, team-oriented environment.
About the Role
The Customer Service Representative provides administrative, clerical, customer service, and general support to the management team and staff. Responsibilities include assisting customers, processing cash payments, handling documentation, supporting purchasing and receiving activities, performing basic accounting tasks, and assisting with recruiting, onboarding, and employee record maintenance. Secondary responsibilities include supporting general operations, including helping with various tasks around the facility as needed. This role plays an important part in ensuring the efficient day-to-day operation of the office and operation.
Key Responsibilities
- Provide exceptional customer service by answering incoming phone calls, emails, and customer inquiries in a professional and timely manner.
- Assist customers with questions regarding products, services, account information, and order status.
- Process cash and credit card payments on site.
- Maintain accurate customer records and document interactions in company systems.
- Route or escalate complex customer concerns to the appropriate department.
- Support purchasing, receiving, filing, and general office administrative functions.
- Assist with basic accounting tasks, including data entry, invoice processing, and recordkeeping.
- Support recruiting and onboarding activities, including maintaining employee files and compliance documentation.
- Perform general clerical duties such as filing, scanning, copying, and data entry.
- Work collaboratively with team members to ensure efficient office operations.
- Maintain confidentiality while handling customer and employee information.
- Other duties as assigned.
Qualifications
- High school diploma or GED required.
- Excellent verbal and written communication skills.
- Strong organizational skills with attention to detail.
- Basic computer proficiency, including Microsoft Office and the ability to learn new software.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Professional, dependable, and customer-focused attitude.
- Previous customer service experience is preferred but not required. Training will be provided.
Preferred Qualifications
- Experience in customer service, administrative support, reception, or call center environments.
- Basic knowledge of accounting or bookkeeping functions.
- Experience supporting Human Resources or onboarding activities.
- Bilingual skills are a plus but not required.
- Familiarity with CRM or customer relationship management software is preferred.
Work Environment
- Fast-paced, collaborative office environment.
- Regular use of computers, phones, and other office equipment.
- Ability to sit or stand for extended periods.
- Occasional lifting of office supplies up to 25 pounds may be required.
- Schedule flexibility may be required based on business needs.
