About Somersett Owners Association:
Somersett is a 2,391-acre master-planned golf community located in Northwest Reno, surrounded by the Sierra Nevada range and Peavine Peak. The Association provides a range of amenities, recreational facilities, and lifestyle programming designed to enhance the resident experience.
Somersett Owners Association promotes a high-performance, service-driven culture focused on operational excellence, community engagement, and long-term sustainability. The organization manages multiple facilities and sub-associations, including Sierra Canyon, a 55+ sub-association with its own dedicated amenities and clubhouse, Aspen Lodge.
Aspen Lodge is the primary amenity facility serving Sierra Canyon residents and includes indoor and outdoor recreational amenities, fitness spaces, activity rooms, and community gathering areas designed to support an active adult lifestyle.
Job Summary:
The Administrative Assistant supports both administrative functions and front-of-house operations at Aspen Lodge, serving as a key point of contact for residents, guests, and daily facility use.
This role is responsible for maintaining organized administrative systems while also supporting reception duties, including resident interaction, scheduling, and general facility coordination. The position ensures that daily operations are supported through clear communication, accurate documentation, and a professional front-of-house presence.

Duties/Responsibilities:
- Serve as a primary point of contact for residents and guests, providing assistance, information, and direction in a professional and timely manner
- Answer incoming calls, emails, and in-person inquiries, ensuring clear and accurate communication
- Support facility use by assisting with reservations, activity sign-ups, and general scheduling questions
- Assist residents with general HOA and community-related questions, escalating more complex items as needed
- Provide daily support for front-of-house operations, ensuring a smooth and organized resident experience
- Maintain accurate records of resident interactions, reservations, and communication
- Support communication efforts, including notices, emails, and resident updates
- Assist with event and activity support, including basic setup and coordination
- Maintain organization of front desk systems, schedules, and general documentation
- Coordinate with staff to ensure resident needs and requests are addressed
- Maintain a clean, organized, and professional front-of-house environment
- Provide administrative support as needed, including document preparation and general office tasks
- Perform other related duties as assigned
Knowledge, Skills, and Abilities
- Strong customer service and interpersonal communication skills
- Strong organizational skills with the ability to multitask in a fast-paced environment
- Problem-solving mindset with attention to detail
- Proficient in Microsoft Office and general computer systems
- Ability to communicate clearly and effectively both verbally and in writing
Education and Experience:
- High School Diploma or equivalent required
- 4+ years of customer service, hospitality, or administrative experience preferred
- Experience in HOA, community management, or recreation environments is preferred
Physical Requirements:
- Ability to spend prolonged periods sitting at a desk and working on a computer
- Prolonged periods of standing, walking, and talking
