Description:

SUMMARY

Reporting directly to the Manager of Major Projects - Sales, the Project Coordinator is responsible for supporting corporate accounts and submitting accurate bids on behalf of Spacesaver and the distribution. As part of the Inside Sales function for bids, the Project Coordinator is responsible for opportunity review, Area Contractor coordination, estimating coordination, bid package preparation, proposal submission, and post-bid award functions, aiming at applying processes and principles to mitigate risk and drive incremental sales on behalf of our distribution partners through our direct sales channel. The Project Coordinator ensures all quotes and projects assigned are managed and coordinated in a timely and thorough manner consistent with Spacesaver Corporation's policies, procedures, and quality image.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Primary point of contact on incoming bid opportunities identified by Business Development. Thoroughly review solicitation, bid documents and specifications to identify key elements like timelines, products specs, certifications, site visits, special requirements, etc. to assist distribution on proposal strategies and competitive advantages.
  • Review and interpret construction documents, including drawings and specifications to determine material scope as well as project fulfillment requirements.
  • Liaise with clients to identify, define and clarify project requirements, scope and objectives stated within bid documents. Ensure proper and timely communication and follow through with internal and external customers and support departments.
  • Coordinate detailed requests to estimators, freight vendors, installers, and other resources to accurately quote projects and submit project bids on behalf of Spacesaver and our distribution partners
  • Develop pricing and positioning strategies to increase conversion rates on projects.
  • Complete necessary project paperwork including pre-qualifications, contract breakdowns, joint project agreements, and others as required.
  • Issue all appropriate legal paperwork to ensure risk mitigation on all project submissions.
  • Provide critical support, as needed, to Sales Managers by assisting with bid activities and deliverables, including but not limited to, bid document review, cross department collaboration, area contractor collaboration and proposal creation.
  • Collaborate as needed with area contractors to review and discuss sales strategy, inclusive of product application, design, and pricing structure.
  • Prioritize quotes and tasks based on customer and team needs; manage multiple concurrent requests and ensure due dates are met.
  • Make independent decisions regarding projects to ensure proper completion.
  • Maintain sound knowledge and understanding of Spacesaver's full product line (i.e. mobile, shelving, and storage products, etc.) and keep abreast of changes accordingly as they relate to job duties.
  • Report and escalate to management as needed.

QUALIFICATIONS

  • Bachelor’s degree in Engineering, Construction Management, or related field, or minimum 5 years project management experience that has provided well rounded product knowledge, applications knowledge and customer / project sequencing. Must have demonstrated capability of managing through complex spec review and sales coordination.
  • Ideal candidate will be a highly motivated self-starter who performs at the highest level of professionalism and integrity, and will be an initiator and coordinator of all sales-related activities.
  • Results driven with the proven ability to guide complicated sales engagements through sales funnel.
  • Strong understanding of Spacesaver’s internal tools, including Configura, IFS, SpaceNet, and SalesForce.
  • Strong proficiency with Microsoft Office (i.e. Excel, Outlook, Access, PowerPoint, Word, etc.) and proficiency in Sales Force software.
  • Must have good organizational and time management skills as well as have the ability to meet deadlines with appropriate attention to detail in a fast paced, highly dynamic environment.
  • Strong oral and written communication skills. Demonstrated ability to effectively communicate with small and large groups.
  • Must have a strong customer focus. Demonstrated ability to build relationships internal and external to the organization with a focus on meeting or exceeding service and product expectations.
  • Proficient in working with architectural floor plans/drawings, technical specifications, contract interpretation, mechanical concepts, and basic understanding of construction and construction methods.
