Primary Job Responsibilities

The Project Coordinator plays a pivotal role in overseeing and coordinating projects from initiation to completion. This position requires a blend of technical expertise, project management skills, and effective communication to ensure seamless execution of telecom initiatives. Project Coordinators will support our deployment teams by managing the administrative backbone of our projects. In this role, you will focus on the logistical details, aligning schedules, facilitating resource assignments, and ensuring data accuracy, to keep our commercial technology rollouts moving efficiently. Project Coordinators work closely with Project Managers and Field Resource teams to ensure technicians are at the right place at the right time with the correct information. You will also collaborate closely with various stakeholders, including clients, vendors, and internal teams, to deliver projects on time, within budget, and in alignment with organizational goals.

Key Responsibilities:

  • Schedule Alignment: Liaise between customers and internal teams to lock in site installation dates, ensuring strict adherence to the project timeline.
  • Resource Collaboration: Work cross-functionally with the Field Services/Dispatch team to ensure appropriate technicians are assigned to sites based on skill set and location.
  • Data Entry & Integrity: Maintain the "source of truth" in our project management systems. This includes inputting site details, updating status changes in real-time, and verifying asset information.
  • Documentation Management: Collect, review, and organize site deliverables (signoffs, photos, test results) to ensure all administrative requirements are met before closing out a ticket.
  • Logistics Coordination: Assist with tracking hardware shipments to ensure equipment arrives at the site prior to the technician’s scheduled visit.
  • Meeting Support: assist Project Managers by preparing status reports, tracking meeting minutes, and following up on open action items.
Requirements:

Experience: 1–3 years of experience in project administration, coordination, or a heavy administrative role.

Organizational Skills: Exceptional attention to detail with the ability to manage high volumes of data and scheduling changes without errors.

Software Proficiency: Strong proficiency in Microsoft Excel and general comfort learning new ticketing or project management software.

Communication: Clear written and verbal communication skills to effectively collaborate with internal teams and external field partners.

Adaptability: Ability to pivot quickly when schedules change (e.g., a technician calls out or a site is not ready).

Preferred Qualifications

Tech Savvy: Basic familiarity with technology terminology (e.g., knowing the difference between a router, a switch, and a POS terminal) is helpful, though deep technical knowledge is not required.

Environment and Normal Working Conditions

On site - Core business hours are generally 8:00 am – 5:00 pm. However, this position will/may require work to be performed outside of normal business hours based on Company operations.

Collaboration & Partnerships

This role works cross-functionally with Operations, Field Services, Sales, Finance, and client stakeholders to ensure successful project execution and delivery.
