Summary:
The Program Assistant will support the daily operations of the Community Services and Planning Divisions, ensuring effective communication, recordkeeping, and administrative tasks are completed in a timely and organized manner. This position involves working closely with clients, vendors, and staff while maintaining confidentiality and compliance with applicable regulations.

Essential Duties & Responsibilities:
- Communication & Daily Operations Support:
- Interact with clients, vendors, and visitors to ensure smooth operations.
- Answer incoming calls and direct them appropriately.
- Prepare responses to routine inquiries and correspondence.
- Perform general clerical duties, including copying, faxing, and filing.
- Conduct research, compile data, and prepare documents for management staff.
- Create and modify documents, such as reports, memos, and letters, using Microsoft Office and the THO system.
- Documentation & Reporting Support:
- Assist with documentation, recordkeeping, and reporting requirements for various programs.
- Ensure compliance with state and federal regulations.
- Maintain confidentiality in handling client, staff, and agency information.
- Event Planning & Execution:
- Assist in the planning and execution of special program events or training sessions.
- Special Projects Support:
- Assist with special projects to support the administration and operations of the program.
- Meetings & Training:
- Attend and participate in meetings, work groups, team meetings, and training conferences as assigned. This may include local, state, regional, and national groups.
- Compliance with Policies & Procedures:
- Comply with Mid-Cumberland Community Action Agency’s Policies and Procedures, as well as applicable Early Childhood Standards, including DHS Licensing, CACFP, TN Department of Health, and NAEYC Accreditation Standards.
- Other Duties as Assigned:
- Perform any other duties as assigned by the Supervisor.
Education & Experience Qualifications:
- Education:
- High School Diploma required; Certification or AA degree preferred.
- Experience:
- Minimum of 1 years of administrative experience.
Preferred Qualifications:
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite and experience with recordkeeping systems.
