Your Opportunity

Jet Aviation Defence is seeking an organised and proactive Administration Assistant to support the Senior Maintenance Manager and the effective administration of the PC-21 Programs at RAAF Base Williamtown.

This is a full-time, Monday-to-Friday position working 38 hours per week, offering a annual salary of AUD$70,000 plus Super plus Military Bonus.

The successful candidate will play an important role in supporting site administration, employees, suppliers, customers and contract stakeholders within a professional aviation and defence environment.

Your Responsibilities

  • Provide day-to-day administrative support, including managing telephone calls and enquiries, coordinating visitor base access, preparing meeting minutes, filing and archiving documents, and producing reports and presentations.
  • Complete Word, Excel and PowerPoint tasks, including data entry and reporting.
  • Manage monthly timesheets and ensure employee time registration is entered and confirmed daily.
  • Complete time-critical fortnightly time-registration reconciliations to support accurate payroll reporting.
  • Purchase and maintain records for office supplies, staff amenities, uniforms and personal protective equipment in accordance with company procedures and financial delegations.
  • Support supplier engagement, invoice management, site deliveries and collections, and the repair, calibration and overhaul of tooling and support equipment.
  • Assist with the management of held support equipment and deployment mobilisation activities for Williamtown and Edinburgh.
  • Maintain local registers, including asset, facility key, postal and uniform registers.
  • Administer local employee security requirements, including permanent base passes, police checks and ASIC passes.
  • Support recruitment activities in conjunction with the Human Resources Manager.
  • Complete corporate credit card delegate coding and close work orders or projects when requested.
  • Coordinate local travel arrangements, including accommodation, hire cars, flights and expenses.
  • Provide excellent customer and contract stakeholder service.
  • Participate in and comply with Jet Aviation policies and procedures, including workplace health and safety, environmental programs and the Aviation Safety Management System.
  • Provide additional support to the Central Administration Group and Manager Commercial Administration as required.
