Position SummaryOregon Ice Cream is seeking an organized, customer-focused professional who enjoys supporting people and keeping operations running smoothly. As the first point of contact for employees, applicants, vendors, and visitors, the Office Administrator creates a welcoming and professional experience while ensuring the efficient operation of the front office.
This position provides administrative support to the People Operations team and plant leadership through office administration, employee services, records management, vendor coordination, and general business support. Success in this role requires exceptional organization, attention to detail, confidentiality, and the ability to manage multiple priorities in a fast-paced manufacturing environment.
Key Responsibilities- Serve as the first point of contact for visitors, applicants, vendors, and employees by providing professional and courteous customer service.
- Manage the reception area to ensure effective telephone, mail, and visitor communications while maintaining a welcoming office environment.
- Answer, screen, and route incoming telephone calls and respond to routine inquiries.
- Receive, sort, and distribute incoming mail, packages, and courier deliveries.
- Maintain office security by following visitor procedures and controlling facility access.
- Coordinate day-to-day office administrative activities, including filing, scanning, copying, record management, and document preparation.
- Maintain office equipment, supplies, common areas, and overall office organization.
- Support the People Operations team with administrative tasks including onboarding activities, employee records, temporary staffing documentation, and employee communications.
- Maintain vendor and visitor logs and assist with scheduling and coordination as needed.
- Assist plant leadership with administrative projects, reports, and special assignments.
- Participate in departmental and cross-functional projects that support business objectives.
- Maintain confidentiality when handling employee and company information.
- Follow all company safety, food safety, food quality, and GMP requirements.
- Report food safety or quality concerns to authorized personnel.
- Perform other duties as assigned to support business operations.

- Strong proficiency in Microsoft Office Suite, including Excel, Outlook, Word, and Teams.
- Ability to adapt to changing priorities in a fast-paced manufacturing environment.
- Professional, positive, and service-oriented approach.
- High school diploma or equivalent.
- Minimum of two years of experience in a receptionist, office administration, or administrative support role.
- Proficiency with Microsoft Office Suite, including Excel.
- Experience working with confidential information.
- Excellent customer service and communication skills.
Preferred
- Bilingual in English and Spanish.
- Experience supporting Human Resources or People Operations.
- Experience in a manufacturing or food production environment.
The Eugene facility includes both office and manufacturing environments. This position requires regular interaction within both settings. Duties involve prolonged periods of sitting, frequent computer use, and occasional standing, walking, reaching, bending, and lifting office supplies weighing up to 50 pounds. The employee is regularly required to communicate verbally and work safely in accordance with company policies and food safety standards.
Additional Information- May require overtime during peak season or high-volume hiring periods.
