HR and Employee Health Assistant

Position Title: HR and Employee Health Assistant

Reports To: Human Resources Manager

Full-time (37.5 hours); Monday - Friday 8am-4pm

Hourly Rate: $21.00-$24.00

Broad Function:

The HR and Employee Health Assistant provides administrative and operational support to the Human Resources and Employee Health departments. This position supports employee onboarding, personnel record maintenance, regulatory compliance, employee health documentation, appointment coordination, and data tracking.

The HR and Employee Health Assistant serves as a resource for applicants, employees, managers, and external partners while maintaining professionalism, accuracy, confidentiality, and compliance with organizational policies and applicable federal and state requirements. The position does not provide clinical advice and refers clinical questions or concerns to qualified Employee Health personnel.

Qualifications:

  • High school diploma or equivalent required.
  • Associate degree in Human Resources, business administration, healthcare administration, office administration, or a related field preferred.
  • Previous administrative, Human Resources, healthcare, occupational health, or medical office experience preferred.
  • Experience working with confidential personnel or medical information preferred.

  • Excellent verbal and written communication skills.
  • Strong interpersonal and customer service skills.
  • Ability to manage sensitive and confidential matters with discretion, professionalism, tact, and diplomacy.
  • Excellent organizational, time-management, and follow-up skills.
  • Strong attention to detail and commitment to accuracy.
  • Proficiency with, or the ability to quickly learn, HRIS, applicant tracking, Employee Health, document-management, and related computer systems.
  • Ability to enter, maintain, review, and report data accurately.
  • Ability to understand and follow organizational policies, established procedures, and applicable confidentiality requirements.
  • Ability to recognize matters outside the scope of the position and refer them appropriately.
  • Knowledge of HIPAA, OSHA, employment recordkeeping, or healthcare compliance requirements preferred.

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer.
  • Frequent use of standard office equipment, including computers, telephones, scanners, and copiers.
  • Ability to bend, reach, retrieve, organize, and file documents.
  • Ability to lift and carry up to 15 pounds at times.
  • Ability to walk throughout the facility and travel between Human Resources, Employee Health, and other organizational departments as needed.
  • Ability to communicate effectively in person, by telephone, and through electronic communication.

Working Conditions

  • Work is primarily performed in a professional office and healthcare environment.
  • The position routinely handles confidential personnel, employment, and medical information.
  • The employee may occasionally encounter individuals experiencing stress or sensitive employment or health-related circumstances.
  • The position may require flexibility to respond to onboarding schedules, compliance deadlines, employee appointments, audits, or other departmental needs.
