PRIMARY FUNCTION

The Talent Acquisition Specialist is responsible for leading/managing the full-cycle recruitment process across all Omni Workspace brands playing a key role in workforce planning, employer branding, recruitment marketing, and a consistent and efficient hiring process across the enterprise.

This role partners closely with leaders to attract, engage, and hire top talent for both service-based and professional office positions and serves as a brand ambassador for Omni Workspace brands, ensuring a positive candidate experience while building talent pipelines to support growth objectives.

This position supports recruitment efforts for a variety of roles, including furniture installers, project managers, warehouse personnel, drivers, service technicians, sales professionals, designers, project coordinators, administrative professionals, Shared Services team members (Finance, IT HR, Marketing), and leadership positions.

PRINCIPLE DUTIES AND RESPONSIBILITIES

Talent Acquisition & Recruitment

  • Manage full-cycle recruitment for service, operational, administrative, professional, and leadership positions across Omni Workspace brands.
  • Partner with hiring managers to understand workforce needs, position requirements, and hiring priorities.
  • Develop and execute recruitment strategies to attract qualified and diverse candidate pools.
  • Create compelling job postings and recruitment marketing content that reflects Omni Workspace's culture and values.
  • Source active and passive candidates through job boards, social media platforms, networking, employee referrals, industry associations, and community partnerships.
  • Screen applications, conduct initial interviews, and assess candidate qualifications and fit.
  • Coordinate and facilitate interview scheduling and candidate communications throughout the hiring process.
  • Manage offer preparation, candidate negotiations, and pre-employment processes in partnership with Human Resources.
  • Maintain consistent communication with candidates to deliver a positive and professional hiring experience.
  • Service & Operational Recruiting
  • Lead recruiting efforts for field-based and operational positions including installers, warehouse personnel, drivers, service technicians, and other labor-based roles.
  • Develop local recruiting partnerships with technical schools, workforce development organizations, trade programs, veterans' organizations, and community groups.
    Maintain proactive candidate pipelines for high-volume and difficult-to-fill service positions.
    Support workforce planning initiatives to address seasonal, project-based, and growth-related hiring needs.

Professional & Corporate Recruiting

  • Recruit for office-based positions including sales, project management, design, finance, customer experience, human resources, marketing, and leadership roles.
  • Partner with leaders to identify talent needs and succession opportunities.
  • Assist with leadership recruiting efforts as assigned.

Employer Branding & Talent Pipeline Development

  • Promote Omni Workspace as an employer of choice through recruitment marketing, social media engagement, networking events, and community involvement.
  • Support the execution of employer branding initiatives.
  • Build and maintain talent communities for future hiring needs.
  • Participate in job fairs, industry events, college recruiting activities, and networking opportunities.

Recruitment Operations & Analytics

  • Maintain applicant tracking systems and recruitment records with accuracy and confidentiality.
  • Track recruitment metrics and provide regular recruiting updates and hiring reports to leaders and the Chief People Officer including time-to-fill, source effectiveness, candidate conversion rates, and hiring outcomes.
  • Recommend process improvements and AI technology that enhance recruiting effectiveness, efficiency, and candidate experience.
  • Stay informed of recruiting trends, labor market conditions, and talent acquisition best practices. Maintain compliance with federal, state, and local employment laws and regulations throughout the hiring process.

  • Proficiency with applicant tracking systems, recruiting platforms, Microsoft Office applications. Desire/ Drive of leverage AI capabilities throughout the process.
  • Analytical mindset with the ability to interpret recruiting metrics and make data-driven recommendations.
  • Customer-service orientation and commitment to delivering an exceptional candidate experience.

EDUCATION & EXPERIENCE

  • Associate's degree or equivalent combination of education and experience required; Bachelor's degree preferred.
  • Two or more years of recruiting, talent acquisition, staffing, or related human resources experience preferred.
  • Experience recruiting both hourly operational positions and professional office roles preferred.
  • Experience utilizing applicant tracking systems, AI platforms and recruitment technologies required.
  • Experience supporting multi-location or multi-state recruiting efforts preferred.
  • Experience with Paylocity or similar HRIS/ATS platforms preferred.

PHYSICAL REQUIREMENTS

  • Ability to sit, stand, and use a computer for extended periods of time.
  • Occasional travel may be required to support recruiting events, hiring initiatives, and business operations.
