About the Role:

The Veterinary Customer Service Representative (CSR) plays a crucial role in ensuring a positive and seamless experience for clients seeking veterinary care for their pets. This position serves as the primary point of contact for pet owners, managing inquiries, scheduling appointments, and providing information about veterinary services. The Veterinary CSR is responsible for maintaining accurate client and patient records, processing payments, and coordinating communication between clients and veterinary staff. By delivering compassionate and professional support, the CSR helps foster trust and satisfaction, contributing to the overall success and reputation of the veterinary practice. This role requires a balance of administrative efficiency and empathetic communication to meet the needs of both clients and the veterinary team effectively.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Previous experience in a customer service role, preferably in a veterinary setting.
  • Proficiency with computer systems and practice management software.
  • Strong verbal and written communication skills.
  • Ability to multitask and manage time effectively in a fast-paced environment.

Preferred Qualifications:

  • Familiarity with veterinary terminology and common medical procedures.
  • Experience with billing and insurance processing in a veterinary context.
  • Bilingual abilities (not required), especially in Spanish, to support diverse client populations.
  • Demonstrated skills in conflict resolution and empathetic client interaction.

Responsibilities:

  • Answer incoming phone calls and respond to client inquiries regarding appointments, services, and general pet care information.
  • Schedule, confirm, and reschedule veterinary appointments using practice management software.
  • Maintain and update client and patient records accurately, ensuring confidentiality and compliance with relevant regulations.
  • Process payments, handle billing inquiries, and assist with insurance claims as needed.
  • Coordinate communication between clients and veterinary staff to ensure timely follow-up and delivery of care instructions.
  • Provide compassionate support to clients during stressful situations, including emergencies or sensitive medical discussions.
  • Assist with administrative tasks such as inventory management, ordering supplies, and preparing client education materials.
