Pathfinder Bank is seeking a Deposit Operations Specialist to support daily deposit operations within a community banking and financial services environment. This role reviews customer and deposit account information and documentation for accuracy, researches account inquiries, supports regulated deposit products, and helps ensure Deposit Operations functions are completed accurately, efficiently, and in accordance with Bank policies and regulatory requirements.

Position Summary:
Provides support to Bank personnel and customers regarding Deposit Operations issues and inquiries, including customer and deposit account information discrepancies and documentation exceptions. Reviews customer and deposit account setup and maintenance performed by Bank personnel to ensure accuracy and compliance with applicable regulations, Bank policies, procedures, and internal controls. Supports the administration of regulated deposit products and assists with research, reporting, document retention, and other Deposit Operations functions.
Essential Functions:
- Review daily and monthly reports and supporting documentation to ensure customer and deposit account setups and changes are completed accurately and in accordance with Bank policies and applicable regulations
- Review new customer and deposit account information, including Customer Identification Program (CIP) information and required account documentation
- Perform detailed research on customer accounts in response to internal and external requests, including asset verification requests and subpoenas
- Work with Loss Mitigation and Security to monitor delinquent accounts and process activity as necessary to help protect the Bank against fraudulent or negative account activity
- Maintain and support the Bank’s IRA and HSA customer base, including account setup, documentation, reporting, and servicing inquiries
- Maintain control and tracking processes for returned mail
- Review and process deposit-related reports, including Court and Trust and IOLA reports
- Review Safe Deposit Box reports and complete applicable Deposit Operations procedures
- Review the Bank’s Change Jar program and deposit account field changes for accurate setup and proper documentation
- Review completed bonds and submit them to the U.S. Treasury Department for reimbursement
- Ensure customer and deposit records are properly scanned, filed, indexed, stored, and maintained in accordance with document retention requirements
- Respond to phone calls, emails, and written inquiries from branches, departments, and customers regarding Deposit Operations matters
- Assist with cross-training department and branch employees on applicable Deposit Operations responsibilities
- Assist with audit-related requests and provide support to Branch Administration regarding Deposit Operations functions
- Maintain working knowledge of applicable banking laws and regulations and ensure compliance with Bank policies, procedures, and internal controls
- High school diploma or equivalent required
- General knowledge of Deposit Operations processes required
- One year of experience in document imaging, records management, or administrative support preferred
- 3–5 years of experience in a banking, financial services, or operations-related environment preferred
- Knowledge of key banking regulations and experience applying them in an operational setting preferred
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Excellent written and verbal communication skills with a high degree of professionalism and discretion
- Ability to work independently with minimal supervision while maintaining strong attention to detail and accuracy
- Ability to maintain productivity while performing repetitive tasks and maintaining a high level of concentration
- Understanding of confidentiality and data security best practices
- Ability to learn and apply regulatory and compliance requirements
- Proficiency in Microsoft Office products, including Excel, Word, Outlook, and Adobe required
Preferred Qualifications
- Bachelor’s degree in Business, Information Systems, Finance, Computer Science, or a related field
- Relevant banking-related certifications
- Strong working knowledge of core banking platforms, banking regulations, deposit operations tools, and document imaging systems
- Experience working with reporting tools and operational dashboards
