American GI Forum - National Veterans Outreach Program is a nonprofit organization. SUMMARY
The Administrative Assistant facilitates the efficient operation of the assigned department by performing a variety of clerical and administrative tasks.
RESPONSIBILITIES & DUTIES

- Answers and transfers phone calls, screening when necessary.
- Welcomes and directs visitors and clients.
- Answers inquiries by visitors regarding programs, policies, procedures, forms and documents or other questions concerning Veteran benefits.
- Periodically interface with our Intake Specialist and responsible to assume his duties when they are away from their duty position.
- Maintains filing systems as assigned.
- Posts information to agency records and modifies forms or records. Posts, maintains, and files forms, records, and reports.
- Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
- Assists with Veteran intake form and financial disclosure forms; obtains proper Veteran status verification (DD Form 214, etc.), identification and residency as well as family composition and documentation.
- Obtains copies of eviction notices, demands for utility payments with threat of cut-off, documentation concerning employment and other sources of income.
- May contact a Service Provider for a Veteran referral; such contracts are completed personally by a Volunteer.
- Prepares agendas and schedules for meetings.
- Records and distributes minutes or other records for meetings.
- Maintains office supplies and coordinates maintenance of office equipment.
SKILLS & COMPETENCIES
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Proficient in Microsoft Office Suite.
- Excellent organizational skills and attention to detail.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Ability to work independently.
REQUIREMENTS & QUALIFICATIONS
- High school diploma or GED.
- One year of experience in an administrative role.
- Veteran or Veteran’s spouse preferred (copy of DD Form 214 needed).
- Must pass a background check.
PHYSICAL DEMANDS
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
WORK ENVIRONMENT
While performing the duties of this position, the employee will conduct office work, meet with clientele, and team members, and at times travel offsite to conduct business. Employee may be exposed to varying weather conditions. Employee will also be required to work in varied office and residential environment based on assigned caseload. Employee will be able to handle and de-escalate situations that may arise while at work.
