About This Position

As a Scheduler/Dispatcher, you will play a crucial role in ensuring that our projects are meticulously planned and executed on schedule. Working closely with the project team, you will be responsible for preparing, updating, and managing project schedules to facilitate smooth project progression.


Summary/Objective

The Scheduler/Dispatcher is responsible for receiving, tracking and updating management and/ customers with status of repair/mobile calls for any repairs outside of the mall lot. Requests will be made through multiple forms via email, whatsapp and JOTFORM links. The Dispatcher will track mechanics repairs, input information to update repair orders and upload attachments, invoices and purchase orders into the repair orders.

Essential Functions

  • Communicate with and manage mechanics via phone and/ text (Whatsapp), repair/call planning, safety, maintenance, and all other aspects involving mechanic.
  • Track open and closed repair orders and update repair orders and repair order spreadsheet in a timely fashion by communicating with mechanics, dispatchers, and customer representatives regarding repairs, calls, and status updates
  • Maintain accurate computer dispatch and scheduling records to ensure smooth and accurate communication flow.
  • Ensure priority/emergency calls are relayed to management and mechanics for shifting manpower for support needed.
  • Monitor multiple chats for information posted and relaying the information to the mechanics and/or management.
  • Track pending, in progress and completed repair orders and making best judgement calls to where the mechanics will respond to taking into consideration the type of repair, location and accessibility.
  • Able to work under pressure, in a fast-paced environment and able to multi-task with mechanics and be patient with the process and procedure.
  • Report mechanic’s performance issues or concerns to appropriate management for resolution.
  • Good customer services skills to meet and exceed customer expectations; acts in a professional, courteous, and cooperative manner toward customers and co-workers; works with a sense of honesty and trustworthiness.
  • Maintains a feeling of pride in work; strives to achieve all goals.
  • Perform other job-related duties as assigned. 
  • Regular, predictable attendance is an essential function of this position.

Qualifications

  • High school diploma or GED required
  • One to three years of related experience in trucking, transportation, logistics, or dispatching

Supervisory Responsibility

This position has no supervisory responsibilities.

Work Environment

This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

This is a largely sedentary role; however, some filing is required. This would require the ability to lift files and items up to 20lbs, open filing cabinets, and bend or stand on a stool as necessary. 

Position Type/Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday, 8:30 a.m. to 5 p.m. with every other Saturday, 8:30 a.m. to 1:30 p.m. This position must be able to work a flexible schedule that includes occasional evenings/early mornings, weekends and holidays.

Travel

Off-island travel is not expected for this position.
