Job Description
POSITION SUMMARY:
Performs other clerical duties as assigned; answer and route incoming phone calls and pedestrian traffic, communicate with Truck Drivers regarding schedule changes if needed, ensure lobby area and copy room are maintained in a neat and orderly manner, distribute incoming mail appropriately, and forward job applicants as appropriate. Attendance is critical.
EDUCATION / EXPERIENCE:
· High School/GED required
· Customer Service experience required
· Experience with computer programs required (Microsoft Word, Excel, Outlook, etc)
· Experience with office equipment required (multi-line phone system, fax machine, copier, etc)

· Ability to handle sensitive situations and confidential information
· Ability to effectively prioritize
· Ability to remember and follow instructions
· Possess exceptional verbal communication and interpersonal skills

RESPONSIBILITIES & DUTIES:

· Greet and direct all visitors; including admin visitors and participants of the Career Center. (E)
· Answer and return all phone calls in a timely manner; respond to voice messages appropriately and provide callers with accurate information. (E)
· Sort and distribute mail and facsimiles. (E)
· Ensure that lobby is not left unattended, and is locked up at close of business. (E)
· Coordinate with Executive Assistant and relevant admin staff regarding deliveries (supplies, food, etc.) and special visitors/phone calls.
· Assist in job application workflow, maintain files and assist job seekers with application completion. Confidentiality is critical. (E)
· Troubleshoot and coordinate with postage meter representative to maintain appropriate postage and resolve issues.
· Schedule donation pick-ups accurately and in a timely manner when applicable.
· Organize and maintain records, enter data and produce documents as requested. Confidentiality is critical. (E)
· Keep surroundings neat and clean, including lobby and copy room.
· Deescalate potential issues and troubleshoot appropriately.
· Communicate appropriately and positively with coworkers and others, operating as a team player.
· Perform other duties & responsibilities as assigned by supervisor.
