About This Position
Under general supervision, follows established policies and procedures while performing a wide variety of clerical and departmental duties within the designated department.

Communication
- Maintains on-going communication within department.
- Keeps department staff members and families updated regarding patient status if applicable to specific department.
- Has a good grasp of the computer and able to access computer files as needed.
- Demonstrates good interpersonal skills by communication with patients, visitors, hospital staff, and other medical facilities in a friendly, caring, sincere, and cooperative manner.
- Maintains a positive, friendly, and cheerful demeanor, even during stressful situations.
- Communicates identified problems to appropriate supervisory personnel and participates in corrective action.
- Using own judgment, recognizes unusual patient/family situations and deal with them accordingly.
- Ensures that all phone calls are answered by the 4th ring, in a pleasant and professional manner.
- Gives appropriate information regarding the designated department, answering questions and taking messages, as needed.
- Communicates information to and from other medical facilities in a courteous and helpful manner.
- Retains confidentiality in all aspects of the position.
Patient Files
- Arranges new patient charts with all required paperwork if applicable.
- Orders and maintains office supplies.
- Mails and/or faxes all reports as requested in a timely manner.
- Sorts and routes all incoming mail appropriately.
- Operates all standard office equipment. Other duties, as assigned.
Patient Information/Education
- Completes all mandatory skills on-line as required by Beacon.
- Upon patient's arrival, notifies appropriate department.
- Verifies all information regarding the patient, prior to their arrival.
Supply and Inventory Management
- Monitors and orders replacement of stock paper supplies and materials according to predetermined levels.
- Assures that needed stock items for the station are located in proper place on unit with easy access to physicians and staff.
- Records, distributes and returns items as needed.
Contribute to the overall effectiveness of the department
- Completes other job-related duties and projects as assigned.
Associate complies with the following organizational requirements:
- Attends and participates in department meetings and is accountable for all information shared.
- Completes mandatory education, annual competencies and department specific education within established timeframes.
- Completes annual employee health requirements within established timeframes.
- Maintains license/certification, registration in good standing throughout fiscal year.
- Direct patient care providers are required to maintain current BCLS (CPR) and other certifications as required by position/department.
- Consistently utilizes appropriate universal precautions, protective equipment, and ergonomic techniques to protect patient and self.
- Adheres to regulatory agency requirements, survey process and compliance.
- Complies with established organization and department policies.
- Available to work overtime in addition to working additional or other shifts and schedules when required.

Education and Experience
- The knowledge, skills and abilities as indicated below are acquired through the successful completion of a high school diploma or equivalent is preferred. Must be a minimum of 17 years of age. Medical Terminology is preferred. Up to 1 year experience is also preferred.
Knowledge & Skills
- High school courses, with training in communications and English.
- Ability to read, write legibly, and perform and understand detailed instructions.
- Ability to type 30 wpm preferred and files accurately.
- Will be expected to become familiar with departmental procedures.
Working Conditions
Works in a hospital office and patient care environment.
Physical Demands
- Work normally performed in sitting positions; however, some walking around is required, and filing requires bending, stooping, and standing.
- May involve occasional periods of lifting and transporting patients.
