The EPSDT Administrative Assistant provides administrative and operational support to the agency’s Early and Periodic Screening, Diagnostic, and Treatment (EPSDT) Personal Care Services (PCS) program in compliance with New Mexico Medicaid (Turquoise Care) requirements. This position supports documentation integrity, scheduling coordination, onboarding processes, and audit readiness in alignment with New Mexico Healthcare Authority (HCA), Medical Assistance Division (MAD), Department of Health (DOH), and applicable New Mexico Administrative Code (NMAC) provisions.
Responsibilities
• EPSDT Program Administrative Support
o Support EPSDT referral intake, tracking, and documentation in accordance with MAD standards.
o Assist with new EPSDT member onboarding, ensuring completeness of eligibility, consent, and service documentation.
o Maintain EPSDT member records to meet NM audit and retention requirements.
• Scheduling & Coordination
o Assist with scheduling RN assessments, supervisory visits, and reassessments in accordance with EPSDT timelines.
o Support PCA schedule coordination under direction of the EPSDT Administrator.
o Track visit completion and notify leadership of missed or overdue visits.
• Compliance & Audit Support
o Maintain organized and audit ready compliance files for EPSDT members and PCAs.
o Track expiration dates for required documents including COR, Registry Abuse, background checks, and trainings.
o Assist with preparation for internal audits, external reviews, and state monitoring activities.
o Ensure documentation aligns with NMAC and Centennial Care audit expectations
• Employment & Onboarding Support
o Assist with administrative onboarding tasks for new PCAs and EPSDT staff.
o Support E-Verify documentation, COR tracking, Registry Abuse tracking, and background check file maintenance.
o Maintain training, competency, and onboarding records per NM Medicaid requirements.
• Incident & Reporting Support
o Receive, log, and route incident reports in accordance with internal policy and NM reporting standards.
o Maintain secure incident documentation and tracking logs.
• Training & Education Support
o Assist with scheduling EPSDT, PCA, and compliance trainings.
o Maintain attendance records and training documentation for audit purposes.
• Communication & Customer Service
o Serve as a professional contact for EPSDT members, families, PCAs, and internal staff.
o Escalate concerns appropriately while maintaining confidentiality.
• Reporting & Data Management
o Support data entry and maintenance of EPSDT trackers, logs, and reports.
o Assist leadership with documentation requests and audit preparation.
• Marketing & Communications Support
o Assist with preparation and distribution of the monthly company newsletter.
o Support administrative aspects of outreach and marketing initiatives.
Requirements:Physical Requirements:
• Must be able to talk, listen, and speak clearly on the telephone.
• Bilingual (English/Spanish)
• While performing the duties of the job, employee is required to stand, walk, stoop, bend, sit for long periods of time; and must be able to read, write, speak, and hear well enough to communicate. Manual dexterity is required to utilize keyboards and office equipment. Employee may occasionally be required to lift up to 20lbs to file documents, and/or store office material.
