Position Title:

Maintenance & Security Systems Dispatcher

Reports To:

Director of Maintenance & Security Operations

Basic Function:

Responsible for receiving, recording, prioritizing, and relaying work orders to appropriate maintenance technicians and proper channels. Additionally, serve as dispatcher for the Security Department, monitoring systems, coordinating responses, and supporting security operations across all properties.

Responsibilities:

Maintenance Dispatch Duties:

  • Receives, records, and distributes work orders to Maintenance Techs for maintenance requests, service issues, or repair work from branches and departments.
  • Initiates, modifies, prioritizes, and closes work orders in an electronic work order (ticket) software system.
  • Receives telephone calls and emails for emergency, urgent, and routine maintenance repair service requests. Records and relays requests promptly.
  • Answers inquiries requiring general knowledge of services, procedures, and practices for the department.
  • Maintains files on all specific, standing work orders and related information and documents.
  • Coordinates and schedules recurring maintenance tasks. Maintains service logs.
  • Inventories and orders maintenance supplies. Interacts with vendors regarding supplies and materials.
  • Receives and reviews maintenance invoices. Prepares for approval and submits for payment.
  • Performs varied clerical duties to coordinate the flow of communications and assure smooth operations of the Maintenance Department.
  • Operates standard office equipment such as computers, typewriters, and copiers.

Security Dispatch Duties:

  • Responds to alerts received through security emails.
  • Receives and logs security-related calls, reports, and requests from staff, branches, and departments.
  • Dispatches security personnel to incidents, emergencies, or routine patrols based on urgency and location.
  • Maintains real-time communication with security staff to monitor status and ensure timely response.
  • Documents all security incidents, responses, and outcomes in appropriate logs or systems.
  • Conducts regular security tests at the Summerhill building and troubleshoots camera issues, increasing awareness of property conditions and enhancing support for both maintenance and security teams.
  • Assists in scheduling security coverage for events, shifts, or special assignments.
  • Provides general information and support regarding security procedures and protocols.
  • Assist with access control for employees and housekeepers.
  • Helps bridge the gap between maintenance and security by identifying areas where security can assist with maintenance-related tickets.
  • Ensures confidentiality and accuracy in handling sensitive security information.
  • Adheres to all Red River Employees Federal Credit Union policies and procedures.
  • Performs other related duties as assigned.

Qualifications:

  • One or more years’ experience in a clerical, administrative, and/or dispatch role preferred.
  • High School diploma or equivalent.
  • Proficient with personal computers, basic office equipment, and Microsoft office.
  • Ability to plan, organize, and establish priorities.
  • Read and understand work orders and service requests.
  • Work independently and make decisions within established guidelines.
  • Ability to work well in emergency situations.
  • Ability to meet, speak, and deal effectively with people, being professional always.
  • Willing to work extended hours, weekends, and some holidays, as needed.
  • Must maintain a neat and professional appearance.
  • Valid driver’s license and maintain good driver’s record.
  • While the following list is not exhaustive and may be supplemented, identified physical requirements include the ability to operate normal office equipment and to reposition work-related items, not to exceed 25 pounds.
