About This Position
Purpose of Position:
The surgery scheduler coordinates with patients, physicians, anesthesia and operating room staff to create and maintain daily surgical schedules of the Aultman Main OR, Pretest, OPD (Main 2), Cardiovascular OR, Hybrid OR and CVOR. Schedulers are also responsible for pre-registering all encounters and, when applicable, collecting patient responsibilities prior to surgery. This includes entering the appropriate surgical appointment, demographics and insurance information into the appropriate systems to facilitate patient care and hospital billing procedures. In doing so, the schedulers help to ensure efficient patient flow while also ensuring all fiscal procedures are followed in a consistent and appropriate manner.
Skills and Qualifications:
- High School Diploma, minimum
- Comprehensive knowledge of medical terminology, surgical terminology
- Knowledge of managed care concepts, insurance rules and requirements
- Familiarity with statutes and regulations that can impact financial conversations with patients when performing up front collections
- Effective interpersonal skills and ability to persuade patients to pay in accordance with hospital policies
- Ability to work under time pressure while interacting in a helpful, courteous manner with a high degree of customer contact
- Excellent typing (40 wpm), spelling and verbal skills
- Demonstrated ability to multi-task between heavy phone volume, multiple computer systems and frequent interruptions
- Effective at adjusting to change, prioritizing duties, handling stress and communicating with employees, patients, patient family members and physicians
- Ability to make decisions and work independently
Primary Duties and Responsibilities:
- Schedule surgical procedures (via fax, phone, web requests) into the Surginet system following established protocols that promote physician satisfaction and overall OR efficiencies
- Identify the appropriate procedure(s) to assure the correct case cart it prepared
- Record any special patient requirements and equipment
- Record appropriate anesthesia types
- Adjust surgery times for efficient OR patient flow
- Schedule to appropriate surgeon’s blocks or open rooms
- Obtain required forms or documents from to assure appropriate insurance authorizations
- Maintain schedule by making additions and modifications as requested; communicate scheduling changes across applicable departments in a timely manner
- Proactively work with leadership to resolve staff or clinical related scheduling conflicts
- Create the surgical and pre-test encounter where all clinical and financial documentation and information is recorded
- Receive and initiate patient calls to complete the registration process of each encounter in the Cerner Patient Management system
- Verify insurance eligibility and benefits using Change Healthcare RevRunner system
- Advise patients of their financial responsibility and collect payments up prior to surgery
- Refer patients to financial counselors when unable to collect
- Follow establish cancellation practices if patient does not meet financial obligations
Hours of Operation:
- Monday – Friday; 6:00a-05:00p
- Subject to change based on ability to reach patients during these hours
