Purpose:
The Payroll Specialist is responsible for the timely and accurate processing and payment of payrolls for multiple companies. The position is also responsible for the maintenance of reliable timekeeping system, as well as other general support duties as assigned.
Job Functions/Accountabilities:
Primary Responsibilities:
- Timely and accurate processing and payment of multiple companies’ payrolls, including union contract compliance, as applicable, on a bi-weekly basis at minimum; and monthly SERP payments.
- Ensure adherence of applicable payroll standard operating procedures and guidelines, including compliance with union contracts as applicable.
- Verify completeness of certain payroll data transferred within the HRIS system through the onboarding process or other Human Resources (HR) functions.
- Verify hours reported in timekeeping system are correct as per schedule and per shift.
- Follow up with employee and/or supervisor to resolve discrepancies.
- Verify timekeeping system configuration for recording time in compliance with union contracts and other applicable policies.
- Verify hours reported in payroll system are accurately imported from timekeeping system and are correctly coded, including but not limited to, accurate mapping of earnings codes and calculation of shift differentials, etc.
- Enter payroll exceptions as applicable to include but not limited to plus ups, relocation, and bonus payouts/payrolls.
- Monitor Paid Time Off (PTO) balances within timekeeping system and ensure proper carryover and/or payout of balances as applicable.
- Audit payroll registers, verify payroll funding amounts and address any issues immediately, directly with the payroll service provider.
- Ensure accuracy of compliance reporting as applicable.
- Timely and accurate processing of 401(k) funding per each payroll run processed.
- Reconcile 401(k) amounts within the payroll system to the funding requirements per 401(k) service provider.
- Verify completeness of 401(k) deferral data transferred within the HRIS system through the file feed process (to/from between the payroll system and the 401(k) system).
- Address any discrepancies immediately, directly with the 401(k) service provider.
- Prepare payroll disbursement requests as applicable for union dues and charity deductions, and any manual payments as authorized.
- Work with payroll service provider to inform/provide necessary information related to wage garnishments or child support programs.
- Assist with audit and tax requests as needed.
- Ensure accuracy of W-2's, prior to finalizing annually.
- Prepare quarterly and annual reports as needed for governmental compliance, including Census, Bureau of Labor Statistics, workers’ compensation, benefit plan audits, and others as needed.
- Regularly review and update JSOX documentation related to the payroll, 401(k) and timekeeping processes as necessary and ensure compliance with all Key Financial Controls as stated in the documentation.
- Regularly review and update company policies which may have payroll and/or payroll tax implications as necessary and ensure compliance with all governing tax authorities.
- Continuously seek ways to improve the performance of our facility's operations and ensure that customers' (both internal and external) needs are met.
- Assist in improving ADP configuration, special projects and perform other duties as assigned by supervisor.
Qualifications:
Education and Certifications:
- Associate’s degree in Business- or HR-related field required or equivalent experience may be considered.
- Certified Payroll Professional accreditation is strongly preferred.
Experience:
- 5+ years of experience in a payroll function is required.
- Experience using ADP and/or Kronos is strongly preferred.
- Experience with timely and accurately processing payroll for multiple companies.
- Experience with ADP and/or Kronos configuration is ideal.
- Experience with Microsoft Excel formulas and pivot tables is ideal.
- Experience with payrolls paid under union contract is ideal.
Special Qualifications:
- Proficiency in time management and organizational skills is required.
- Ability to interact with all levels of the organization.
- Excellent verbal and written communication skills.
- Must possess strong MS Office and personal computer knowledge.
- This position may be required to work certain holidays and some limited weekends to ensure timely processing and funding of payroll. Further, absences will be limited depending upon payroll processing cycle needs.
- Some overtime may be required.
- This position requires strong self-motivation and a need for general supervision.
- This position requires a close working relationship with Accounting to ensure payroll data reporting is accurate and complete.
