About This Position

POSITION PURPOSE

  • The Pharmacy Department Assistant works directly under the Director of Pharmacy and is responsible for performing a variety of essential department functions to provide administrative and clerical support for the Froedtert South Pharmacy Director, management and staff.

MINIMUM EDUCATION REQUIRED

  • High School or Equivalent (GED)

MINIMUM EXPERIENCE REQUIRED

  • Entry Level

LICENSES / CERTIFICATIONS REQUIRED

  • A college education or one to two (1-2) years of previous relevant experience is preferred, with some knowledge of medical terminology.

KNOWLEDGE, SKILLS & ABILITIES REQUIRED

  • Ability to gather and interpret information to develop and maintain reports. Moderate level of analytical ability, in order to gather and interpret data from diverse sources and resolve moderately complex administrative problems which assist the daily operations of the pharmacy. Able to maintain an efficient records management system. Knowledge and experience with Outlook, Word, Excel, EPIC and electronic health records, timekeeping, and internet browser applications are desired. Requires the physical, technical and cognitive ability to operate the following office equipment: computer, fax, photocopier, and calculator.

PRINCIPLE ACCOUNTABILITIES AND ESSENTIAL DUTIES

  • Preparing daily as well as monthly reports and statistics reports; updating documents and forms;
  • Preparing onboarding materials for department employees and students; maintaining departmental employee files;
  • Reviewing Medical Records for charge accuracy or medication audit as needed;
  • Submitting manual charges and reimbursements as needed;
  • Sorting and/distributing mail and maintaining office supplies;
  • Performing other duties/projects as assigned;
  • Enters employee schedules, schedule changes, and paid time off into the timekeeping system, and assists management in signing off pharmacy timecards biweekly, as well as working with the Human Resources and Payroll departments as needed;
  • Manages the departmental records and files, maintaining an organized filing system.
  • Creates new and updates existing spreadsheets and departmental forms.
  • Job duties may include handling medication on a limited basis, such as assisting the Inventory Control pharmacy technician with unpacking and shelving medications for storage. Job duties do not include handling of controlled substances or hazardous drugs.
