About This Position
The Digital Process & Automation Manager is the in-house “efficiency engine” for The Training Center. The Training Center is a New Jersey-based leader in career development for skilled trades. We deliver board-approved licensing programs, online certifications, and exam-prep courses for HVAC, boiler operation, pool operations, and more—serving thousands of working professionals each year through a blend of high tech in-person lab and a digital platform. This role audits every high-volume student journey and back-office workflow, then designs and implements smarter automated processes across our CRM, LMS, communication tools, VOIP, chat, and email systems. Success means faster cycles for administrators, lower friction for students, and progress insights for each program director—freeing instructors and designers to focus on improving programs and materials to drive the scale for new programs.
This role will lead our marketing automation efforts by cleaning and organizing our database, building workflows from scratch, and creating campaigns that nurture users across our journeys, from prospect to retention.
Job Structure:
Process Automation & System Integration (60%) - Document/Audit current-state workflows for each program (HVAC certifications, licensing, career programs, pool operator, etc.). Identify bottlenecks, redundant manual steps, and any inefficient gaps. Implement low-code automations for self service, API connections, and AI-powered tools that: 1) sync VOIP, chat, and email data with the CRM; 2) trigger student nudges based on progress; 3) surface chat-bot FAQs to cut repetitive inquiries.
Quality Control & Change Management (15%) - Train the five administrators on new workflows; create checklists or quick-reference guides. Act as a resource for issues that are escalation for technical issues.
Vendor & Project Management (15%) - Liaise with CRM/LMS provider and other SaaS vendors. Translate business needs into clear technical tickets; manage backlog and acceptance testing.
Data & Continuous Improvement (10%) - Build dashboards that monitor student progress, administrative communication volume, email conversion, student drop-off points. Run A/B experiments on communications. After rollout, turn improvements over to program stakeholders to operate from implementation.
Support routine operational tasks as required. This role increases after time vested in automation reduces administrative workloads.
Skills & Experience:
5–8 years in business systems or process-automation roles, with at least 2 years owning cross-functional projects end-to-end.
Bachelor’s in Information Systems, Industrial Engineering, Business Analytics, or related field (MBA/MS a plus).
Proven command of CRM/LMS administration, API/webhook integrations, and low-code automation platforms (e.g., Zapier, Make, Tray.io, Workato).
Solid grasp of Lean/Six Sigma or BPMN for process mapping; comfortable whiteboarding with teammates.
SQL or BI tooling for building real-time operational dashboards; familiarity with prompt-engineering or small LLM deployments is a plus.
Track record of training and change-management for non-technical staff.
Strong communication, vendor-management, and “roll-up-your-sleeves” problem-solving mindset.
Work Environment & Benefits
Competitive base salary $70 k + performance bonus potential.
Medical, dental, vision, 401(k) with company match, paid time off.
High-autonomy culture and direct access to leadership.
How to Apply
A resume highlighting relevant process-automation achievements.
A brief cover note describing a workflow you automated—the problem, the solution, and the measurable impact.
