About This Position
The Payroll and Benefits Specialist ensures accurate processing of employee payroll and effective management of employee benefit programs. This role ensures compliance with relevant regulations and serves as the primary contact for employee compensation and benefit inquiries.
Essential Functions
Payroll- Ensure accurate and timely processing of payroll utilizing third party payroll provider, including but not limited to:
- New hires, terminations, deductions, garnishments and related calculations
- Reconcile payroll prior to processing and validate processed payroll journals
- Timely submission and funding of 401 (k) contributions
- Monitor and ensure accuracy of timesheets, including appropriate recording of employee time to companies, programs, projects, grants/contracts, etc.
- Review and reconcile all monthly benefit related invoices
- Assist with completing quarterly and annual reporting requirements:
- 941 and W‐2 reconciliations
- 401(k) non‐discrimination testing, 5500 activities, and annual audit
- Workers’ compensation audit
- Collaborate with the HR department to address payroll-related issues and resolve employee and manager inquiries efficiently
- Uphold the highest confidentiality of employee and company payroll data
- Maintain files and documentation thoroughly and accurately, in accordance with company policies and IRS regulations
- Ad‐hoc analyses, reporting, and special projects as needed
- Other administrative functions as needed
- Oversee the planning, organization, and implementation of the annual benefits open enrollment
- Process on‐going benefit enrollments for new hires and benefit changes due to “life events”
- Assist with the administration of CCNC COBRA in connection with employment separation and other qualifying events
- Assist employees with all benefit related questions
- Coordinate with benefit providers to resolve claims issues
- Assist with providing necessary documents for GRC audit requests
- Oversee licensure certification, vaccine oversight, and driver’s license verification
- Assist with benefit compliance requirements:
- ACA reporting
- EEO1 & 2
- OSHA reporting
- Minimum of an associate’s degree or the equivalent combination of education and experience.
- Minimum of 2 year’s experience in payroll and benefits administration.
- Proficiency in Microsoft Excel skills
- Proficiency in payroll and benefits software applications
- Knowledge of benefits and claims administration
- Proficient in federal and state regulations, including the Consolidated Omnibus Budget Reconciliation Act (COBRA), Health Insurance Portability and Accountability Act (HIPAA), and payroll compliance laws
- Skilled in effective written and verbal communication across all organizational levels
- Ability to maintain confidentiality
- Strong analytical and problem‐solving skills
- Ability to multi‐task while maintaining a high level of accuracy and organization
- Advanced interpersonal skills with a proven ability to collaborate effectively within a team
- Routinely there may be some minor physical inconveniences or discomforts in the work setting, including sitting for moderate periods of time
- Must be able to utilize office equipment, computer, keyboard, and phone with or without assistive devices
- Repetitive wrist motion and occasional lifting/carrying of up to 25 pounds
