Job Description

Role Summary
The Analyst - Shared Services is responsible for coordinating invoicing activities between internal business units and customers. This role ensures invoices are prepared, submitted, and tracked accurately and timely, while maintaining compliance with contractual requirements. The Analyst will also provide supporting documentation, resolve billing discrepancies, and collaborate with stakeholders to improve invoicing processes and customer satisfaction.
Key Responsibilities
  • Partner with internal business units and customers to prepare, submit, and manage invoices.
  • Review and audit invoicing records to ensure accuracy, completeness, and compliance with customer and contractual requirements.
  • Research, analyze, and resolve invoice discrepancies, billing inquiries, and payment-related issues.
  • Compile and distribute supporting documentation required for customer invoice review and approval.
  • Monitor invoice status and proactively follow up on pending approvals and outstanding payments.
  • Maintain accurate invoicing records, reports, and documentation.
  • Collaborate with cross-functional teams to identify and implement process improvements.
  • Communicate effectively with internal stakeholders and customers to ensure timely resolution of invoicing matters.
  • Qualifications
  • Recent college graduate or equivalent combination of education and experience.
  • No prior invoicing experience required; training will be provided.
  • Working knowledge of Microsoft Excel, including basic formulas, sorting, filtering, and data management.
  • Strong attention to detail and organizational skills.
  • Effective written and verbal communication skills.
  • Ability to work collaboratively with multiple stakeholders.
  • Strong problem-solving and analytical abilities.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Preferred Skills
  • Experience with Microsoft Office Suite, particularly Excel.
  • Customer service mindset with a focus on accuracy and responsiveness.
  • Ability to learn new systems and processes quickly.
