This role is a high-touch, client-facing position at the center of the real estate closing process, where you will serve as the primary point of contact for clients, lenders, and stakeholders throughout the transaction lifecycle. You will guide customers through escrow and closing activities, ensuring clarity, accuracy, and a seamless experience from start to finish. The position requires strong escrow expertise combined with excellent communication skills, as most of your day will be spent managing inbound and outbound calls and resolving client needs in real time. You will also support operational workflows when not on calls, helping ensure files progress efficiently through the closing pipeline. This is a fast-paced, high-volume environment where attention to detail, customer obsession, and problem-solving are essential. The role plays a direct impact on customer satisfaction and successful transaction completion across multiple real estate processes.
In this role, you will manage client interactions and escrow workflows end-to-end while ensuring smooth transaction execution, compliance with procedures, and high-quality customer service throughout the closing process.
- Serve as the primary point of contact for clients, handling inbound and outbound calls with professionalism and accuracy.
- Guide lenders, consumers, and agents through escrow processes and assist in preparing and executing closing instructions.
- Resolve customer inquiries and issues efficiently, escalating complex cases when necessary to ensure timely resolution.
- Monitor key performance indicators such as call handling time, customer satisfaction, and quality standards.
- Follow established scripts, compliance guidelines, and operational procedures for all client interactions.
- Support escrow production tasks when not on calls, including title review, clearance of title issues, and file completion.
- Review commitment and preliminary title reports to verify legal accuracy and resolve discrepancies.
- Audit and close files once all required funds and documentation are received.
- Identify opportunities to improve customer experience and contribute to process enhancements.
The ideal candidate brings strong escrow experience, excellent communication skills, and the ability to manage high-volume client interactions in a fast-paced, detail-driven environment.
- Minimum 2 years of current Escrow Officer or equivalent escrow experience.
- 1+ year of call center or high-volume customer service experience strongly preferred.
- Strong understanding of escrow processes, title workflows, and real estate transaction requirements.
- Ability to independently process and manage escrow files from start to finish.
- Knowledge of standard real estate transaction types, including sales, loans, subdivisions, exchanges, and commercial escrows.
- Excellent verbal and written communication skills with a professional phone presence.
- Strong multitasking skills with the ability to manage competing priorities in a fast-paced environment.
- Proficiency with CRM systems, computer applications, and multi-line phone systems.
- Customer-obsessed mindset with strong problem-solving and relationship-building skills.
- Notary certification is a plus but not required.
