Senior Leave of Absence Specialist

This role is a senior-level leave administration position responsible for managing complex employee leave cases across multiple federal and state regulations. You will act as the primary point of contact for clients, employees, managers, and external vendors, ensuring end-to-end coordination of leave of absence processes. Working in a highly regulated and detail-oriented environment, you will oversee cases such as FMLA, disability, parental leave, and company-specific policies while ensuring compliance and consistency. You will also serve as a trusted subject matter expert, guiding both clients and internal teams through complex scenarios. The role combines client service, regulatory expertise, and operational excellence, with a strong focus on accuracy and communication. It is ideal for an experienced leave professional who thrives in a consultative, fast-paced, and highly accountable environment.

Accountabilities

You will be responsible for managing full-cycle leave administration for a portfolio of clients while ensuring compliance, accuracy, and a high level of service delivery.

  • Manage a book of clients as the primary point of contact for all leave of absence matters, including FMLA, CFRA, PDL, PFL, disability, military, and personal leaves
  • Intake and evaluate leave requests, making recommendations and designations for client HR review and approval
  • Oversee the full leave lifecycle, from initial request through return-to-work coordination and documentation
  • Coordinate with benefits and payroll teams to ensure accurate pay impacts, benefit continuation, and premium handling
  • Maintain complete, accurate, and compliant records for all leave cases in accordance with legal requirements
  • Provide escalation support for complex or sensitive cases and act as a senior resource for other specialists
  • Educate employees, managers, and clients on leave policies, procedures, and regulatory updates
  • Support continuous improvement of workflows, documentation, and operational processes, including automation opportunities
Requirements

You bring deep expertise in leave administration, strong regulatory knowledge, and the ability to independently manage complex caseloads while supporting others.

  • Bachelor’s degree in Human Resources, Business Administration, or related field preferred
  • 5+ years of experience in leave of absence administration, managing complex or high-volume caseloads
  • Strong knowledge of federal and state leave laws (FMLA, CFRA, PDL, PFL, and related regulations)
  • Experience serving as a mentor, escalation point, or subject matter expert for peers
  • Strong analytical and problem-solving skills with the ability to interpret complex regulations
  • Excellent communication skills with the ability to translate legal and policy requirements into clear guidance
  • High attention to detail, strong organization, and strong ownership mindset
  • Proficiency with HRIS and leave management systems
  • Familiarity with modern productivity or AI-enabled tools is an advantage
  • HR or leave certifications (PHR, SPHR, SHRM-CP, SHRM-SCP, CLMS) strongly preferred
