About This Position

Description:

The Patient Care Coordinator is a key front-office team member employed as a W-2 employee responsible for delivering a welcoming, organized, and patient-focused experience from first contact through ongoing care. This role combines customer service, scheduling, communication, and financial coordination to support patient satisfaction, treatment acceptance, and smooth daily operations at Engle Dentistry.

Essential Duties and Responsibilities

  • Greet patients in a warm, professional, and courteous manner in person and by phone
  • Manage inbound and outbound phone calls, emails, and electronic communications promptly and professionally
  • Schedule, confirm, and coordinate patient appointments in accordance with provider availability and treatment needs
  • Explain treatment plans, financial options, and insurance processes clearly and accurately to patients
  • Verify patient information, insurance coverage, and eligibility prior to appointments
  • Send Insurance Claims in a timely fashion
  • Coordinate referrals, follow-up appointments, and recall scheduling as needed
  • Support treatment acceptance by reinforcing provider recommendations and next steps
  • Maintain accurate and up-to-date patient records in the practice management system
  • Monitor daily schedules and communicate with clinical teams to support efficient patient flow
  • Assist with patient check-out, follow-up communication, and post-visit coordination
  • Address patient questions or concerns professionally and escalate issues to management when appropriate
  • Adhere to all HIPAA, privacy, and confidentiality requirements
Requirements:

Qualifications

  • College experience or equivalent preferred
  • Prior experience in a dental front office, medical office, or customer service role preferred
  • Knowledge of dental terminology, insurance verification, and scheduling processes preferred
  • Strong communication, interpersonal, and organizational skills
  • Professional appearance and demeanor consistent with Engle Dentistry standards
  • Comfort working in a fast-paced, patient-focused environment

Physical Requirements

  • Ability to sit or stand for extended periods
  • Ability to use computers, phones, and office equipment throughout the workday
  • Ability to lift up to 25 pounds as needed
  • Visual and auditory acuity sufficient for patient interaction and administrative tasks

Florida Compliance & Professional Standards

  • Must comply with all applicable Florida laws, rules, and professional standards related to patient privacy and healthcare administration
  • Must follow all Engle Dentistry policies, procedures, and standards of conduct
  • Must maintain confidentiality of all patient and practice information
