Overview:
The HR Experience Coordinator is responsible for delivering a high-quality, responsive, and service-driven employee experience across the full employee lifecycle. This role serves as a primary point of contact for employees and managers, ensuring that all HR interactions are handled with professionalism, accuracy, and a strong customer service mindset.
With a heavy focus on onboarding and day-to-day employee support, this individual is highly detail-oriented, proactive, and committed to creating a seamless and positive experience. The HR Experience Coordinator anticipates needs, resolves issues efficiently, and ensures all HR processes are executed with consistency and care.
Schedule: This is a full time hybrid position reporting into our office in Vienna, VA
Duties/Responsibilities:
- Serve as the primary point of contact for all inquiries received through the HR inbox, providing timely, accurate, and customer-focused responses while ensuring a high-touch employee experience.
- Provide comprehensive support across key HR functions, including onboarding, offboarding, benefits administration, and general employee inquiries, ensuring a seamless and positive experience for all employees.
- Lead and support onboarding activities with exceptional attention to detail and customer service, ensuring all new hires are properly set up, documentation is complete and accurate, and communication is clear and timely.
- Maintain accurate, up-to-date, and well-organized employee records across all HR systems, ensuring data integrity and consistency.
- Safeguard the confidentiality and integrity of all employee information, handling sensitive data with the highest level of discretion and professionalism.
- Assist in maintaining and updating HR policies and procedures, ensuring alignment with applicable laws, regulations, and internal standards.
- Perform regular audits of HR files and records to ensure completeness, accuracy, and compliance, proactively identifying and resolving any discrepancies.
- Respond to employee questions, assist with gathering information for workplace issues, and support the HR team in finding solutions, while handling sensitive information with care.
- Partner with the HR team to support employee engagement initiatives, recognition programs, and wellness activities that enhance the overall employee experience.
- Assist in planning and executing HR-related events, including benefits of enrollment, organization-wide meetings, and employee programs.
- Stay current on HR best practices, employment laws, and industry trends, proactively identifying opportunities to improve processes, enhance service delivery, and increase efficiency.
- Proactively identify and address potential issues, ensuring a smooth and consistent HR experience for employees and managers.
- Manage and support front office operations, including maintaining office supplies, kitchen inventory, and ensuring a clean, organized, and well-functioning workspace.
- Perform other duties as assigned.
Education and Experience:
- Bachelor’s degree in Human Resources, Business Administration, or related field required.
- 1-4 Years of related work experience
Qualifications:
- Prior experience in an HR administrative or similar role preferred.
- Experience in a fast-paced environment and the staffing industry is a plus.
- Strong customer service mindset with a commitment to delivering an exceptional employee experience.
- Exceptional attention to detail and organizational skills, with the ability to manage multiple priorities accurately and efficiently.
- Proactive, solution-oriented approach with the ability to anticipate needs and take initiative.
- Ability to handle sensitive and confidential information with discretion and professionalism.
- Strong verbal and written communication skills, with the ability to interact effectively across all levels of the organization.
- Solid understanding of HR principles, practices, and employment laws.
- Proficient in Paylocity, HRIS systems, and other HR tools, with the ability to navigate systems and extract data accurately.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work both independently and collaboratively.
