Summary of Position:

The Associate - Center for Corporate Diplomacy will work to support all department initiatives including business development pipeline management, event implementation with a focus on private sector programming, and general team administration. The position will serve under the supervision of the Associate/Senior Director – Center for Corporate Diplomacy to provide administrative support on business development and prospecting activities including preparing briefing memos, donor tracking, short-term research. Additionally, the Associate supports the Center for Corporate Diplomacy team with administrative activities including financial reconciliations, scheduling, and general operating duties.

This position is located in Washington D.C. and Meridian requires MD, DC, or VA residence for all employees. The position may work partially remotely until further notice.

Position Responsibilities:

Business Development and Prospect Pipeline:

  • Provide logistical and administrative support for donor cultivation activities, including preparing briefing materials, scheduling meetings, drafting follow-up communications, and coordinating with internal teams to ensure smooth engagement with prospects and partners.
  • Support stewardship of corporate donors by helping to track touchpoints, prepare reports and updates, coordinate internal strategy meetings, and draft correspondence to strengthen relationships and ensure continued engagement.
  • Assist in identifying potential corporate donor prospects by conducting background research and maintaining accurate records in Meridian’s CRM/database to help build a robust pipeline for corporate engagement programs, including the Corporate Council.

Programmatic Support and Coordination:

  • Serve as a producer or associate producer across assigned Center for Corporate Diplomacy programs, including Global Business Briefings, Salon Dinners, and other recurring convening series, as well as other programs across the Engagement, Growth, and Partnerships team.
  • Draft, send and track programmatic correspondence including speaker invitations, event invitations, confirmation emails and thank you notes. Track and manage RSVP lists across multiple platforms (e.g., Salesforce, Excel, Splash), ensuring accuracy and follow-up.
  • Follow strategic event workplans and produce deliverables, overseeing day-to-day project coordination to include audience/attendee outreach, registration tracking, correspondence, and post-event follow-up.
  • Produce written outputs, including session descriptions, talking points, briefing memos, runs of show, discussion questions, staffing plans, program summaries, and other materials.
  • Coordinate logistics with internal stakeholders, including events, AV, and communications teams, executive leadership, and colleagues across the Engagement, Growth, and Partnerships division.
  • Support day-of program implementation for Center for Corporate Diplomacy and Open Diplomacy programs (approx. 30 events annually, primarily in-person with occasional hybrid or virtual), including registration, materials preparation, ushering, and other tasks assigned by lead producers.
  • Maintain program data and related event websites with accurate content including event details, registration functionality, post event summaries, curated photo galleries and captions for internal/external use.

Operations and Administrative Duties:

  • Process incoming gifts, ensure accurate reconciliation with the Finance team, and generate donor acknowledgment letters in a timely manner.
  • Database Management to include regular maintenance/cleaning, updating of donor records in Salesforce including but not limited to contact records, opportunities, campaigns, affiliations, and dashboards.
  • Research relevant diplomacy-related topics and Meridian-related matters to contribute to written content.
  • Manage calendar and scheduling for Vice President – Center for Corporate Diplomacy, and produce weekly report outlining upcoming meetings with donors and partners, along with key program and proposal deadlines.
  • Arrange travel, accommodations, and logistical needs for Vice President of Corporate Diplomacy.
  • As needed and on a limited basis, provide support to other members of the Meridian leadership team.
  • Attend meetings, as needed, for Center for Corporate Diplomacy leadership. Distribute any relevant notes to the greater team that adequately summarize the discussion.
  • Maintain organized and up-to-date shared content folders (e.g., SharePoint) to ensure materials are accessible across the team.
  • Responsible for completing all organizational administrative responsibilities in a timely manner and meeting all organizational administrative deadlines
  • Other duties as assigned

Education/Experience

  • Undergraduate degree; focus on international studies, international economics/finance, political science, public policy or similar field preferred.
  • Entry level to 2 years of related experience
  • Or any equivalent combination of training, education, and experience that demonstrates the ability to perform the essential functions of the position

Knowledge, Skills, Abilities:

  • Understanding and interest in non-profit development and fundraising activities
  • Strong organizational and administrative skills, with sharp attention to detail and accuracy.
  • Superior customer service and hospitality skills, ensuring a welcoming and professional environment.
  • Proactive, resourceful attitude and ability to prioritize and maneuver in a fast-paced work environment, including the ability to concurrently balance multiple, high priorities.
  • Demonstrated interest in global affairs and working for a mission-driven cause that connects the diplomatic community with U.S. government officials and private sector leaders.
  • Excellent oral and written English communications skills and ability to synthesize highlights and key takeaways from discussions.
  • Availability to staff events before and after the traditional 9–5 workday when necessary.
  • Strong inter-cultural communication skills; maturity, cultural sensitivity, and tact suitable for working with individuals from around the world

Technical Requirements:

  • Proficiency in Microsoft Office, including Word, Excel and PowerPoint, Outlook and Teams is necessary for this role
  • Experience with Canva, Zoom and Salesforce is helpful
