POSITION OVERVIEW:

The Project Manager for Marketing Operations is a mid-level role responsible for bringing structure, clarity, and accountability to the marketing workflow at Mid-States.

This position’s primary focus will be to build and optimize Monday.com as the central project management system for marketing and eventually for the full merchandising stage-gate process.

This role requires someone who is detail-obsessed, organized, personable, and comfortable working with many different personalities. The ideal candidate thrives in the middle of the action, stays calm under pressure, and can guide teams toward better, more efficient ways of working.

KEY RESPONSIBILITIES:

Marketing Project Management

  • Build, manage, and optimize Monday.com as the central workflow system for the marketing team.
  • Manage project timelines, dependencies, status updates, and approvals across creative, brand, digital, and e-commerce teams.
  • Track progress, flag risks early, and keep teams accountable to deadlines.
  • Maintain clear project documentation and ensure all team members have accurate information.
  • Run weekly marketing standups with clear priorities, updates, and next steps.
  • Support asset routing and approval workflows for creative and content deliverables.
  • Use AI tools to streamline processes, summarize information, and help organize data where helpful.

Cross-Functional Operational Support:

  • Prepare to integrate the company-wide merchandising stage-gate process from Asana into Monday.com.
  • Partner with category management, sourcing, accounting, and leadership teams as the system expands beyond marketing.
  • Assist in building dashboards and reports that support leadership visibility and decision-making.
  • Help create SOPs, workflow guides, and process documentation to support cross-functional adoption.

Systems Ownership and Optimization:

  • Serve as the internal Monday.com expert and primary system administrator for marketing.
  • Maintain structure, naming conventions, templates, boards, automations, and reporting tools.
  • Identify inefficiencies in workflows and recommend improvements.
  • Provide basic training and support for team members who are learning the system.
  • Organize shared resources in SharePoint and other online resources for ease of access and version control.


People and Communication:

  • Work with multiple teams and personality types in a positive, professional, and collaborative way.
  • Provide gentle but effective reminders that keep projects on track without creating friction.
  • Protect timelines by communicating clearly, respectfully, and proactively.
  • Maintain a friendly, fun, and steady demeanor even during high-volume work periods.

MINIMUM QUALIFICATIONS, SKILLS, AND EXPERIENCE:

  • 3 to 5 years of experience in project management, marketing operations, PMO support, or a similar role.
  • Proficiency in Monday.com with the ability to build, optimize, and manage complex boards, automations, dashboards, and workflows.
  • Experience with online documentation systems like SharePoint, and familiarity with Asana.
  • Strong organizational skills with expert attention to detail.
  • Ability to manage multiple projects at once and keep teams aligned and accountable.
  • Strong communication skills and comfort working with creative, marketing, category, sourcing, and leadership partners.
  • Experience using AI tools to speed up workflows, summarize information, organize data, and support project execution.
  • Calm and steady under pressure with the ability to maintain a positive and encouraging tone.

Preferred Qualifications:

  • Experience working inside or supporting marketing, category management, or merchandising teams.
  • Experience managing or migrating project workflows from one platform to another.
  • Experience with project intake processes, approval workflows, and cross-functional calendars.
  • Familiarity with retail, consumer goods, or private-label environments.

PHYSICAL REQUIREMENTS:

Generally, the job requires 80% sitting, 10% walking, and 10% standing. This job is performed in a generally clean environment. The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, some stooping and significant fine finger dexterity.

TRAVEL:

There is minimal travel required for this position.
