About the role:
The executive assistant plays a key role in supporting senior management by managing complex schedules, coordinating communications, and ensuring the smooth operation of office activities. This position requires a proactive and highly organized professional, capable of anticipating executives' needs and handling sensitive information with the utmost discretion. The executive assistant acts as a link between executives, clients, and internal teams, facilitating an efficient flow of information and prioritizing tasks to meet critical deadlines. By managing calendars, preparing documents, and overseeing administrative functions, this role directly contributes to the productivity and efficiency of the executive office. Ultimately, the executive assistant ensures that executives can focus on strategic initiatives by providing comprehensive administrative support and maintaining a well-organized work environment.
Minimum requirements:
- Proven experience as an executive assistant or in a similar administrative role supporting senior management.
- Proficiency in the Microsoft Office suite, particularly Word and spreadsheet applications.
- Strong organizational skills with the ability to effectively manage multiple priorities and deadlines.
- Excellent written and verbal communication skills, including proper punctuation and grammar.
- Ability to maintain strict confidentiality and demonstrate discretion in handling sensitive information.
Preferred skills:
- Bilingual proficiency in English and French to support communication in Canada’s two official languages.
- Experience in office management and general administrative procedures in a corporate environment.
- Mastery of advanced calendar management tools and software.
- Postsecondary education or certification in office administration or related fields.
- Proven ability to work independently and as part of a team in a dynamic environment.
Responsibilities:
- Manage and coordinate complex schedules, including planning meetings, appointments, and travel arrangements for executives.
- Prepare, proofread, and edit correspondence, reports, presentations, and other documents with particular attention to detail and correct punctuation.
- Maintain the confidentiality of sensitive information and handle all communications with discretion and professionalism.
- Serve as the primary point of contact between executives and internal or external stakeholders, facilitating clear and timely communication.
- Oversee general office management tasks, including organizing files, managing supplies, and ensuring efficient administrative processes.
- Support bilingual communication needs by translating or facilitating interactions in both official languages as required.
- Use Microsoft Office tools, including Word and spreadsheets, to create and manage documents, reports, and data tracking.
- Assist with special projects and executive initiatives as directed, demonstrating flexibility and problem-solving skills.
