This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Resource Coordinator II based in Brazil.
This role supports centralized resource management within a global clinical research environment.
You’ll coordinate resource requests, allocation processes, reporting, and demand updates across multiple business functions.
Working closely with Project Managers, Clinical Trial Managers, proposal teams, and line managers, you’ll help ensure the right resources are available where they are needed.
The position combines operational coordination, advanced Excel work, data management, and process oversight.
You’ll play an important role in maintaining accurate resource information and keeping weekly workflows running smoothly.
The role also provides opportunities to identify inefficiencies and contribute to continuous process and tool improvements.

- Manage the centralized Resource Management mailbox, reviewing and interpreting incoming resource requests and routing them to the appropriate teams or individuals.
- Coordinate communication between business requestors—including Project Managers, Proposal teams, and Clinical Trial Managers—and line managers responsible for supplying resources.
- Execute the weekly resource allocation upload process, preparing and uploading approximately 50–75 Excel spreadsheets into the Resource Management Tool each week.
- Communicate with line managers regarding weekly allocation uploads and resolve errors or issues that arise during the process.
- Publish weekly reports generated from the Resource Management Tool to SharePoint, performing the required Excel manipulation and quality checks before publication.
- Load Baseline Resource Requests (BRPs) into the Resource Management Tool as new work is awarded, ensuring source files are correctly formatted for processing.
- Review and manipulate Excel data as necessary to support automated macro-based uploads and maintain data accuracy.
- Apply a strong understanding of resource supply and demand principles to support effective resource planning and allocation.
- Work with management to identify opportunities to streamline workflows, improve tools, and increase operational efficiency.
- Contribute to continuous improvement initiatives and help implement enhancements to resource management processes.
- Perform other related duties and responsibilities as required.
- University or college degree, or relevant certification in healthcare, clinical research, resource management, or a related discipline from an appropriately accredited institution.
- Candidates without the required degree or certification may be considered with 4+ years of relevant clinical research or resource management experience in the pharmaceutical or CRO industry.
- At least 3 years of professional experience in a relevant coordination, resource management, clinical research, or operational role.
- Strong understanding of the clinical trial process; experience within pharmaceutical research or a contract research organization is highly advantageous.
- Strong knowledge of resource supply and demand principles and the ability to understand interconnected resource management processes.
- Advanced Microsoft Excel skills, including working with large datasets, spreadsheets, macros, and data manipulation.
- Excellent computer systems and database knowledge, with the ability to learn and work effectively with specialized resource management tools.
- Strong planning, organizational, analytical, and problem-solving capabilities.
- Excellent written, verbal, and interpersonal communication skills, with the ability to interact effectively across different levels of an organization.
- Ability to work collaboratively within project teams and effectively navigate a matrixed environment.
- Strong time-management skills and the ability to manage multiple priorities while consistently meeting deadlines.
- Ability to identify process issues, recommend improvements, and contribute to operational efficiencies.
- Comfortable working with both technical data and business stakeholders in a structured, deadline-driven environment.
