About the Role
Woodrow is seeking a motivated, detail-oriented Customer Service Representative to serve as a key point of contact between our customers and internal production, shipping, and inventory teams. In this role you will manage customer orders and inquiries, coordinate with the production floor, and help ensure on-time delivery of printed graphics, labels, signage, and assemblies. This is a fast-paced, cross-functional role suited to someone who thrives on organization, communication, and follow-through.
Key Responsibilities
• Serve as the primary point of contact for assigned customer accounts; manage inquiries, order status updates, and issue resolution professionally and promptly.
• Enter, track, and manage customer orders from receipt through shipment; ensure accuracy of order details, quantities, specifications, and delivery requirements.
• Coordinate with production, shipping, and inventory teams to confirm lead times, monitor order progress, and communicate schedule changes to customers.
• Review and process shipping documentation including packing lists, bills of lading, and shipping labels; coordinate carrier pickups and deliveries.
• Support inventory accuracy by monitoring stock levels of customer-specific materials, finished goods, and packaging; communicate shortages or discrepancies to the appropriate team.
• Maintain accurate customer records, order files, and correspondence in the company’s ERP or order management system.
• Assist in resolving customer complaints, returns, or quality concerns; escalate issues to the appropriate department and follow through to resolution.
• Support aerospace and other regulated-industry customers with documentation requirements, certifications, and traceability records as needed.
• Participate in continuous improvement initiatives related to order management, customer communication, and shipping accuracy.
Required Qualifications
• High school diploma or GED.
• 5+ years of customer service experience in a manufacturing, distribution, or production environment.
• Strong organizational skills with the ability to manage multiple open orders and priorities simultaneously.
• Proficient in Microsoft Office (Excel, Word, Outlook); experience with ERP or order management systems.
• Excellent written and verbal communication skills.
• Detail-oriented with a commitment to accuracy in order entry, documentation, and follow-up.
• Ability to work collaboratively with production, shipping, and warehouse teams.
Preferred Qualifications
• Experience supporting aerospace, defense, automotive, or other regulated-industry customers.
• Knowledge of aerospace documentation requirements include certificates of conformance, traceability records, and shipping compliance.
• Shipping and logistics experience includes carrier coordination, freight documentation, and shipment tracking.
• Inventory management experience includes stock monitoring, cycle counts, and discrepancy resolution.
• Familiarity with 5S or Lean office practices.
• Experience with graphics, printing, signage, or label manufacturing a plus.
Education
High school diploma or GED required. Associate degree or certificate in Business, Supply Chain, or related field preferred.
Physical Requirements
Primarily office-based with regular interaction with the production floor. Occasional lifting to 25 lbs. Visual acuity sufficient for order review and documentation.
