Job Description
CRI runs multi-day in-person certification courses in Denver that combine classroom lecture, hands-on labs with live "Dog Professors," and full hospitality service for students and traveling instructors. The On-Site Operations and Course Coordinator owns the end-to-end physical experience of those courses — facility readiness, dog logistics, instructor and student support, catering, and post-course reset — as well as managing the local Dog Professor program between courses. This person is the daily face of CRI at headquarters and the partner-on-the-ground to the Director of Clinical Education, the instructors, and the remote administrative team.
Schedule and location
This is a full-time, on-site role based at our Denver headquarters.
During course weeks (20+ per year), the position requires an extended "event-style" schedule, typically 6:30 AM to 6:30 PM for 3–4 consecutive days, including occasional evening flexibility for late dog pickups.
Outside of course weeks, you will transition to a standard schedule focused on strategic preparation, facility maintenance, Dog Professor recruitment, and inventory management.
Core responsibilities:
Pre-Course Curriculum Administration
Organize pre-course content for each upcoming course with the Director of Education — confirm videos, document updates, and in-person PDFs are in place
Track each student's pre-course video progress; remind students who are behind
Quality-check each course's pre-course curriculum before it is sent to students
Registration & Student-Onboarding Admin
Verify each registering student's eligibility for the course they have selected
Tag and note each student's account so the correct automation sequence fires
Create and send registration invoices
Trigger class email automations on the days they need to send
Coordinate with the team on payment follow-up for unpaid registrations
• Daily Facility Readiness: Execute the 6:30 AM opening protocol, including building systems (lighting/climate control) and environment preparation for the lecture room, labs, and common areas
Hospitality Management: Coordinate the seamless setup, replenishment, and breakdown of all break and lunch stations to ensure a high-quality student experience
Inventory Oversight: Maintain a proactive inventory of the coffee bar and snacks, conducting mid-course supply runs as needed to prevent service gaps
Sanitation Excellence: Perform regular spot-checks and restocking restrooms and high-traffic areas throughout the day to uphold professional standards
Floor & Lab Maintenance: Manage floor cleanliness (vacuuming/mopping) across all training areas and provide immediate mitigation for spills or debris during specialized lab sessions
Student Preparedness: Organize and audit all student materials and desk setups prior to the start of each daily session to ensure day-one readiness
Comprehensive Reset: Finalize the end-of-day cleaning and facility reset to maintain operational standards for the following morning
Dog Professor program — local management
Lead Enrollment: Manage the sign-up process to ensure optimal dog counts for 20+ courses per year
Network Recruitment: Grow the local Dog Professor database through active outreach, screening, and onboarding
Health Tracking: Own the Rabies vaccination database to ensure total compliance with facility safety standards
Logistics Coordination: Orchestrate drop-off and pickup schedules for owners to ensure zero operational delays
Animal Handling: Oversee the safe movement and care of dogs throughout the 6:30 AM – 6:30 PM course days
Instructor Assistance: Partner with educators to provide the right dogs for specific lab demonstrations
Sanitation: Maintain a clean and professional environment in the Dog Professor boarding and lab areas
Instructor logistics and support
Instructor Advocacy and Liaison: Act as the primary on-site contact for faculty, facilitating the morning instructor briefing and providing continuous support for all operational needs throughout the day
Lab Execution and Logistics: Direct the flow of rotating and hands-on labs by managing precise timekeeping, room transitions, and the efficient movement of dogs and instructional materials
Logistics Coordination: Orchestrate all local ground transportation and shuttle requirements to ensure seamless arrivals and departures for stakeholders
Catering and food service
Vendor Relations and Logistics: Proactively confirm all catering engagements prior to each course, verifying dates, menu accuracy, and arrival windows to ensure zero service interruptions
Catering Management: Direct the intake and setup of all food service providers, acting as the primary on-site lead for vendor logistics
Lunch and Learn (L&L) Coordination: Strategically manage food service timing for L&L sessions, including professional presentation, leftover management, and efficient post-meal breakdown
Proactive Procurement: Manage the full lifecycle of hospitality inventory, including the purchase and replenishment of snacks, coffee, water, and essential cleaning/serving supplies
Student experience on-site
Student Onboarding and Orientation: Act as the primary point of contact for incoming students, conducting comprehensive facility tours to ensure full navigational confidence and comfort within the learning environment
Be available throughout the course as the on-site point of contact for student questions, requests, and any on-the-fly needs
Hand out L&L materials and pre-set student desks with daily materials
Manage in-class product orders: collect order forms, generate invoices, package items, take payments, and deliver products to students during breaks
Distribute and collect the student "interest list" sheet during announcements
Course-week setup, equipment and teardown
Pre-course: confirm every lab room has the equipment needed for that specific class; lay out name plates, name tags, lab manuals, and desk materials
During course: clean canikens (anatomical models) when classes use them, stage them for instructors, and return them to storage
Post-course: (final afternoon): clean each lab room and the lecture hall, take out all trash, collect name tags, wipe down name plates, and reuse tags for returning Module 2 students
Reset and prep the facility for the next course on the calendar
Receive, prepare, and clean up canine cadavers for select courses requiring hands-on anatomy and injection labs
Internship Program Administration
Manage end-to-end administration of CRI's internship program; serve as primary point of contact for interns, mentors, and program's clinical lead
Maintain the internship tracker
Review and approve new internship-site applications
Follow up with students who have not started their internship
Ongoing facility and headquarters support
Manage day-to-day facility upkeep between courses (cleaning, laundry, restocking)
Receive deliveries, manage inventory of teaching supplies, and flag what needs reordering
Partner with the remote team on anything that requires a physical hand at HQ
Sponsorship Coordination
Update CRI's Lunch and Learn sponsorship tracker throughout the sponsorship lifecycle
Communicate with confirmed sponsors before each course regarding handouts arrival, materials, and on-site logistics
Receive sponsor materials at the side door; lead in-class L&L sponsor table setup; handle sponsor introductions during class
Course Content and Materials Prep
Build the upcoming-course spreadsheets used to run each class
Coordinate printing of lab manuals and schedules so materials arrive on time
Print and prepare student name tags locally
Collaborate with Paw Prosper Marketing, HubSpot Admin, and other teams on CRI content needs
Required qualifications
Customer service, hospitality, events, or veterinary/clinic operations background (2+ years preferred)
Fully comfortable handling and walking dogs of all sizes; calm and confident around unfamiliar dogs in a clinical setting
Physically able to be on their feet for 10+ hour course days, lift up to 50 lbs. (catering supplies, equipment), and perform light cleaning (vacuuming, mopping, laundry)
Strong organization, time management, and ability to juggle parallel tasks (a lab is happening, a caterer is arriving, a dog needs walking, an instructor needs a binder)
Reliable, punctual, and comfortable with non-standard hours during course weeks (early starts, late pickups)
Working proficiency with email, Google/Microsoft suite, and basic spreadsheets; able to learn Keap, Formsite, Thinkific, and similar tools as needed
Clean driving record and access to a vehicle for supply runs and occasional errands
Professional, warm presence with adult students and credentialed instructors
