JOB TITLE: Accounting Assistant
POSITION SUMMARY The Accounting Assistant’s primary responsibility is to ensure the accounting for the SVH Foundation is completed accurately, timely, and in alignment with applicable accounting standards, donor restrictions, internal controls, and reporting requirements. This position is responsible for maintaining Foundation accounting records, preparing reconciliations and journal entries, tracking donations and restricted funds, supporting financial reporting, and drafting Foundation filings and related financial schedules for review and approval.
In addition to Foundation responsibilities, the Accounting Assistant serves as a backup resource for SVH payroll and supports other SVH accounting duties as needed, including account reconciliations, journal entries, month-end, quarter-end, and year-end close activities, reporting support, audit preparation, and other financial projects.
The Accounting Assistant exercises sound judgment, maintains confidentiality, and contributes to continuous improvement by identifying opportunities to strengthen accounting processes, improve reporting accuracy, enhance documentation, and support effective financial stewardship for SVH and the SVH Foundation.
ESSENTIAL FUNCTIONS

Ensure Foundation accounting is completed accurately and timely, including recording activity, preparing journal entries, reconciling accounts, and maintaining complete supporting documentation.

Maintain the integrity, accuracy, confidentiality, and security of Foundation financial records, donor information, general ledger data, payroll-related information, and supporting documentation.

Reconcile Foundation bank accounts, investment activity, receivables, liabilities, expenses, donations, restricted funds, pledges, grants, and other assigned balance sheet accounts on a timely basis.

Research and resolve accounting discrepancies, coding errors, timing differences, and reconciliation issues with professionalism and attention to detail.

Prepare draft Foundation filings, financial schedules, and related supporting documentation for review, approval, and submission by the appropriate leader or external partner.

Support accurate tracking and reporting of Foundation contributions, pledges, grants, restricted donations, fundraising proceeds, and donor-designated funds.

Serve as a backup resource for SVH payroll processes, helping ensure payroll-related accounting and support activities continue accurately and timely when needed.

Maintain appropriate documentation and support compliance with internal controls, segregation of duties, donor restrictions, payroll procedures, grant requirements, and organizational policies.

Lead Foundation month-end, quarter-end, and year-end accounting activities, including journal entries, reconciliations, accruals, financial schedules, and supporting analysis.

Prepare Foundation financial reports, account analyses, and variance explanations to support management review, Foundation leadership, board materials, audits, filings, and regulatory reporting.

Assist SVH with other accounting duties as needed, including account reconciliations, journal entries, month-end close support, audit schedules, reporting support, and special projects.

Assist with the preparation of audit schedules, cost report support, grant reporting, tax-related schedules, Foundation filing support, and other required financial documentation.

Review assigned transactions for accuracy, completeness, proper classification, and compliance with approved budgets, donor intent, grant restrictions, payroll requirements, and internal policies.

Identify opportunities to improve accounting processes, reduce manual work, enhance reconciliations, strengthen payroll backup procedures, and improve reporting consistency.

Maintain organized workpapers, reconciliation files, filing support, payroll backup documentation, and supporting schedules that clearly document accounting activity and review conclusions.

Use accounting systems, reporting tools, spreadsheets, and available technology to improve accuracy, efficiency, and visibility into financial activity for SVH and the SVH Foundation.

Participate in system improvements, process redesign, testing, reporting enhancements, and workflow updates that support accurate accounting and timely financial reporting.

Develop and maintain desk procedures, reconciliation templates, accounting schedules, and documentation that support consistency, continuity, and cross-training.

Recommend improvements to internal controls, accounting workflows, documentation practices, and reporting processes.

Support the development of financial dashboards, schedules, and reports that turn accounting data into meaningful information for decision-making.

Partner collaboratively with Finance, Foundation leadership, department leaders, donors' administrative contacts, auditors, banks, vendors, and other external partners to support accurate and timely financial operations.

Provide responsive support to internal departments by researching accounting questions, explaining account activity, and assisting with coding, budget, and reporting inquiries.

Collaborate with Foundation and Finance teams to support donor reporting, fundraising activity reconciliation, grant tracking, and stewardship of restricted funds.

Maintain strict confidentiality of financial, employee, donor, patient-related, and organizational information.

Build strong working relationships that support accurate accounting, effective communication, and continuous organizational improvement.
QUALIFICATIONS
Education
-
Associate degree in Accounting, Finance, Business Administration, or a related field required.

Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
Experience
-
Three (3) years of progressively responsible accounting experience preferred.

Experience in nonprofit, Foundation, healthcare, governmental, or other highly regulated accounting environment preferred.

Experience with nonprofit accounting, donor-restricted funds, grants, Foundation accounting, financial schedules, and filing support preferred.

Experience with general ledger accounting, account reconciliations, journal entries, financial reporting, and month-end close processes required.

Payroll experience and/or willingness to serve as a trained backup for SVH payroll processes required.

Experience using accounting systems, payroll systems, reporting tools, Microsoft Excel, QuickBooks, and ERP systems preferred.

WORK ENVIRONMENT:

Work is performed primarily in an office environment with frequent use of computers and standard office equipment.

Periodic extended hours may be required during month-end close, year-end activities, audits, budget cycles, Foundation reporting, or system implementations.
