Serenity at Heart is seeking a dependable, organized, and motivated Staffing & Support Assistant to join our growing team.
This is a great opportunity for someone interested in healthcare administration, human resources, recruiting, staffing, or office operations who is looking to gain hands-on experience in a growing healthcare organization.
The Staffing & Support Assistant will work directly under our HR & Area Supervisor and assist with employee recruiting, applicant screening, onboarding, orientation and training coordination, staffing support, and general HR administrative duties.
Key ResponsibilitiesRecruiting & Applicant Support
- Review incoming employment applications for basic qualifications.
- Conduct initial applicant screening calls using agency-approved screening questions.
- Contact applicants regarding availability, experience, certifications, transportation, and position requirements.
- Schedule candidates for interviews.
- Send interview confirmations and reminders.
- Maintain accurate applicant statuses within the agency's recruiting system.
- Follow up with qualified applicants throughout the hiring process.
- Assist with reference checks and credential verification as assigned.
New Hire & Onboarding Support
- Assist new hires with completing required onboarding documentation.
- Request and track missing employment documents.
- Schedule new employees for orientation.
- Send orientation and onboarding reminders.
- Track orientation attendance and completion.
- Assign or distribute required employee training.
- Monitor training completion and follow up on outstanding requirements.
- Assist with verifying CPR/First Aid, CNA credentials, and other applicable certifications.
- Maintain organized and accurate onboarding records.
- Notify the HR & Area Supervisor when employees appear ready for final employment clearance.
Staffing Support
- Assist with identifying employees who are available for open client assignments.
- Contact employees regarding available shifts and cases.
- Maintain updated employee availability.
- Help identify appropriate caregiver/client matches based on availability, location, qualifications, and client needs.
- Assist with communicating schedule opportunities to caregivers.
- Follow up with newly assigned employees when directed.
- Help maintain an updated list of employees who are cleared and ready for placement.
Employee & Administrative Support
- Assist employees with routine questions and direct more complex concerns to the appropriate supervisor.
- Maintain accurate information in agency systems.
- Assist with tracking employee credentials, training requirements, and expiration dates.
- Perform general HR and staffing administrative duties.
- Maintain confidentiality of employee and client information at all times.
- Support the HR & Area Supervisor with workforce-related projects as needed.

Healthcare, staffing, recruiting, home care, administrative, or customer-service experience is preferred but not required for the right candidate.
Requirements:Qualifications

- Strong written and verbal communication skills
- Basic computer proficiency
- Ability to use email, spreadsheets, online systems, and web-based applications
