PROFILE

We are currently seeking an experienced Legal Administrative Assistant to join our dynamic and fast-paced team. As a key member of the Legal Administrative Assistant team, the successful candidate will provide high-level administrative support to professionals within our Real Estate and Lending Group, contributing to the efficient delivery of exceptional client service.

RESPONSIBILITIES

  • Preparing, drafting, and revising a variety of correspondence, agreements, and contracts, including basic security documentation.
  • Assisting with real estate and lending transactions, including the preparation and coordination of closing and related documents.
  • Managing client accounts and pre-billing processes, demonstrating strong proficiency in accounting and billing procedures.
  • Receiving and assessing instructions, prioritizing workflow, managing competing deadlines, and ensuring timely completion of assignments.
  • Opening and closing files, maintaining accurate records, and preparing reporting packages and other file-related documentation.
  • Providing proactive administrative support to the team and undertaking additional responsibilities as required to support departmental and firm objectives.
  • QUALIFICATIONS

  • Legal Administrative Assistant diploma from a recognized post-secondary institution is preferred.
  • Minimum of three years’ experience as a Legal Administrative Assistant supporting professionals in Commercial Real Estate and Lending practice areas.
  • Exceptional attention to detail and strong technical skills, with the ability to prepare, review, and manage complex legal documentation and agreements.
  • Strong interpersonal and communication skills, with the ability to interact professionally and effectively with clients, external stakeholders, and colleagues at all levels of the firm.
  • Highly organized and proactive, with the ability to manage competing priorities, adapt to changing demands, and consistently meet tight deadlines in a fast-paced environment. Flexibility to accommodate occasional variations in work hours is required.
  • Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint, with experience using iManage, Expert Time, and other legal technology applications.
  • Proven ability to support multiple professionals simultaneously, work collaboratively as part of a team, and assume additional responsibilities as needed to meet departmental and firm objectives.

      The starting range for this role is $61,000 to $79,000. Starting salary will be determined based on an applicant’s individual skills, competencies and unique qualifications. Gowling WLG employees have the potential to exceed this range based on tenure and performance.

    This position is currently vacant and is open to both internal and external candidates. Gowling WLG is recruiting for this role to support ongoing firm needs and team operations.
