Kraken Robotics is currently recruiting for a People & Culture Coordinator to join our Blackbushe, United Kingdom Office.

The People & Culture Coordinator provides administrative and coordination support across core People & Culture programs and employee lifecycle activities. Reporting to the People & Culture Business Partner, this role supports onboarding, recruitment coordination, employee documentation, HR systems, payroll and benefits administration, compliance tracking, and employee engagement activities. The Coordinator helps ensure People & Culture processes are organized, accurate, timely, and consistently delivered, while escalating more complex employee relations, policy, or advisory matters to the Business Partner or appropriate People & Culture team member.

ROLES AND RESPONSIBILITIES

Culture & Employee Experience Support

  • Coordinate employee engagement, recognition, wellness, and culture-related activities under the guidance of the People & Culture Business Partner.
  • Support onboarding and offboarding activities by preparing documentation, scheduling meetings, and coordinating required employee communications.
  • Respond to routine employee inquiries regarding People & Culture programs, processes, and documentation, escalating matters when required.
  • Maintain accurate employee records and support a consistent, positive employee experience across administrative touchpoints.

Compliance & HR Administration

  • Maintain accurate and confidential employee files, HR systems data, and People & Culture documentation.
  • Support compliance tracking, reporting, audits, and required administrative submissions.
  • Assist with the communication and administration of company policies, procedures, and People & Culture programs.
  • Escalate complex compliance, policy, or employee relations matters to the People & Culture Business Partner.

Employee Relations & Workplace Support

  • Provide first-level administrative support for employee inquiries, workplace processes, and People & Culture programs.
  • Support the People & Culture Business Partner with documentation, scheduling, note-taking, and follow-up related to employee matters.
  • Promote respectful workplace practices and help ensure employee concerns are directed to the appropriate People & Culture resource.

Probation Management

  • Carry out and record employee and line manager check-in conversations throughout the probationary period, ensuring agreed actions, feedback, and follow-up requirements are accurately documented.

Absence Management

  • Coordinate the administration and tracking of employee absences, including sick leave, statutory leave, disability-related leave, and other approved time away from work.
  • Maintain accurate and confidential absence records in HRIS and ensure supporting documentation is received, filed, and monitored in accordance with company requirements.
  • Provide employees and managers with routine information on absence reporting procedures, documentation requirements, and available leave programs.
  • Support return-to-work coordination, follow-up activities, and communication with payroll, benefits providers, and relevant People & Culture team members.
  • Escalate complex, prolonged, accommodation-related, or sensitive absence matters to the People & Culture Business Partner.

QUALIFICATIONS AND EXPERIENCE

  • Experience in Human Resources, People & Culture, administration, or a related support role.
  • Post-secondary education in Human Resources, Business Administration, or a related field, or equivalent work experience.
  • Strong organizational skills with the ability to coordinate multiple priorities, maintain accurate records, and follow established processes.
  • Experience supporting recruitment coordination, onboarding, HR administration, payroll or benefits administration, and employee documentation.
  • Working knowledge of HR systems, employee records management, confidentiality requirements, and basic employment standards.
  • Strong attention to detail, communication skills, discretion, and customer-service orientation.
  • Ability to work independently on routine tasks while seeking guidance on more complex matters.
