Job Description

The Assistant Service Manager supports the Service Manager in leading day-to-day service department operations. This role helps coordinate employees and workflow, coaches service consultants, monitors repair-order progress, assists with escalated customer concerns, and promotes consistent, high-quality customer experience. The Assistant Service Manager works within established department policies and priorities and assumes delegated operational responsibilities when the Service Manager is unavailable.

ESSENTIAL DUTIES

Essential Duties include the following. Other duties may be assigned.

  • Support the Service Manager in organizing, coordinating, and monitoring daily service department operations
  • Assist with assigning daily work priorities to service consultants based on appointments, customer needs, staffing, and department workload
  • Monitor department workflow and coordinate with service consultants, technicians, team leaders, and parts personnel to help keep repairs moving efficiently
  • Coach, train, and support service consultants in following dealership procedures, documenting repair orders accurately, and meeting customer service standards
  • Provide the Service Manager with observations regarding employee performance, workflow concerns, and opportunities for improvement
  • Assist customers during high-volume periods and help ensure accurate customer, vehicle, and service information is obtained
  • Address escalated customer concerns within assigned authority and involve the Service Manager when additional approval or resolution is required
  • Review open repair-order reports and follow up with the appropriate employees to help resolve delays and close completed repair orders promptly
  • Assist with vehicle quality-control inspections and verify that identified concerns are addressed before customer delivery
  • Follow up with customers as assigned to support satisfaction, respond to questions, and help resolve service-related concerns
  • Help maintain the supplies, tools, records, and resources needed for efficient department operations
  • Partner with dealership departments to promote effective communication, timely service, and a consistent customer experience
  • Understand and comply with applicable federal, state, and local regulations, including hazardous-waste disposal and OSHA right-to-know requirements
  • Provide department leadership and perform responsibilities delegated by the Service Manager during absences or as business needs require

QUALIFICATIONS

  • Ability to read, understand, and follow instructions, policies, reports, and service documentation
  • Ability to support and guide employees while working collaboratively with the Service Manager and other dealership personnel
  • Ability to organize priorities, monitor workflow, and follow through on multiple assignments in a fast-paced environment
  • Demonstrated leadership, communication, interpersonal, and problem-solving skills
  • Demonstrated ability to address customer concerns professionally and support a high level of customer satisfaction
  • Ability to operate an automobile, including manual transmission vehicles

EDUCATION and/or EXPERIENCE

  • High school diploma or general education degree (GED)
  • Two years of experience in an automotive service or repair facility
  • One year of experience leading, coaching, or supervising service department employees preferred

PHYSICAL REQUIREMENTS & WORK ENVIRONMENT

  • Prolonged periods of sitting, and standing
  • Must be able to lift up to 20 pounds at times.
  • Occasional lifting, standing, crawling, reaching, use of stairs.
  • Occasional attendance at social gatherings.
  • Ability to travel occasionally.

  • Valid Texas Driver's License
