TITLE: CSR/Support Specialist

DESCRIPTION:

Visual Sound is seeking is an (onsite) CSR/Support Specialist for our Corporate Office in Broomall, PA. The CSR/Support Specialist will possess previous experience in the following areas: customer service, sales support, inside sales/bid desk, data entry, technical operations, and puchasing.

Job Responsibilities:

Customer Service

  • Data entry of customer orders and internal change orders into the Company's operating system
  • Maintain knowledge of current products, vendors, distributors, manufacturers, manufacturer representatives, and other industry and company related information
  • Provide timely follow-up on status of customer orders, back orders, shipping schedules, equipment for repair, wrong shipments, damaged goods, or missing parts, etc.
  • Maintain confidential information related to customer transactions, including pricing, problems with units, manufacturing problems, etc.

Sales Support

  • Assist with proposals to customers
  • Ensure accuracy of product costs
  • Respond to customer inquiries and needs, as received by telephone, fax, email or in-person, which may include the following:
  • Requests for product information
  • Place, change, or cancel orders
  • Product/item availability
  • Weekly product backlog review

Office Support

  • Answering incoming calls and routing to proper department/person
  • Locate appropriate company resource to assist customer when needed
  • Ordering of facility supplies, coordination of events in showrooms, and ensure office equipment is working properly
  • Distribution of incoming mail and preparation or outgoing mail

Bids

  • Review information from bid sources, monitor bid sites, and research customer websites
  • Ensure bids are qualified properly, distributed effectively, and assist in bid submission to customer in the correct format specified within the bid
  • Request bid updates, amendments, and results as required


POSITION REQUIREMENTS:
  • Ability to balance multiple tasks with changing priorities
  • Ability to work and think independently and ensuring to meet deadlines
  • Demonstrated ability to maintain strict confidentiality and handle sensitive matters with discretion
  • Excellent attention to detail
  • Must have clear and professional communication skills (written and oral) both internally and externally
  • Effective communication and interaction with employees, clients, and colleagues and the ability to work effectively with all levels of the organization
  • Demonstrated customer service focus and client communication skills
  • Ability to handle sensitive and confidential information
  • Previous experience in the AV industry is a plus
  • Minimum of a High school Diploma or equivalent
  • Minimum 2-4 years of experience with office administrative functions preferred
  • Intermediate proficiency with demonstrated experience utilizing office suite (Word, Excel, Powerpoint)
