Job Description

The Office Manager I is responsible for daily administration of business office activity for five (5) or less providers and only one (1) physical location. This position involves knowledge of all computer software, which may be utilized in daily operations. The Office Manager I may be called upon to perform charge entry, registration, scheduling, patient dismissal, and collection of necessary statistics, as well as staff training and supervision of above functions. The Office Manager I should be prepared to assist in the collection of data, analysis, and implementation of performance improvement plans. The Office Manager I should also be prepared to work on special assignments as requested by the Executive Director. Office Manager I performs within the limits of the hospital's/department's Ethics and Corporate Compliance Program and is responsible to detect, observe and report compliance variances to his/her supervisor, or upward through the chain of command, the Compliance Officer or hospital hotline.

EDUCATION AND EXPERIENCE REQUIREMENTS:

  • High school diploma required, Associates degree preferred
  • 2-4 medical office or administrative experience, 1-2 years of supervisory experience preferred.
  • Must have a thorough working knowledge of medical office computer systems; the ability to formulate, initiate and supervise sound business and clinical policies and procedures; excellent financial management skills, focusing on cost containment, reimbursement and collection practices; the ability to prepare monthly financial and clinical reports as requested.
  • This position requires excellent communication skills and ability to interact with a variety of people including hospital administration, staff and physicians.
  • This position requires customer service oriented attitude and behavior.

PHYSICAL REQUIREMENTS:

The position is located indoors under normal working conditions with travel required between offices. Should be able to push/pull 25 lb., lift/move 15 lb. from floor to table, be able to perform moderately difficult manual manipulations such as using a key board, writing and filing for extended periods of time, must be able to perform tasks which require hand-eye coordination such as data entry, typing and using photocopiers. Mobility requirements may include the ability to sit at a computer terminal or work station for a prolonged period of time in addition to being able to squat, stand and walk for a reasonable length of time and distance. Sensory requirements include the ability to articulate and comprehend the spoken English language in addition to being able to read the English language.

PRIMARY RESPONSIBILITIES OF THE POSITION:

  • Monitor patient flow to ensure efficient operations and effective utilization of physician and staff resources.
  • Oversee front-office functions, including patient registration, scheduling, appointment confirmations, charge entry, and daily balancing activities.
  • Assign, direct, and support staff to ensure timely completion of departmental responsibilities.
  • Demonstrate initiative, flexibility, sound judgment, and effective problem-solving in daily operations.
  • Establish and maintain positive working relationships with physicians, staff, patients, vendors, and organizational partners.
  • Promote a professional, collaborative, and productive work environment.
  • Communicate effectively and professionally, both verbally and in writing, with individuals at all levels of the organization.
  • Conduct regular staff meetings to communicate information, address operational concerns, and solicit employee feedback.
  • Maintain proficiency in practice management, registration, scheduling, and billing systems.
  • Train and onboard new employees on departmental procedures, workflows, and software applications.
  • Participate in ongoing education and training related to system enhancements and operational processes.
  • Assist in forecasting staffing, equipment, and operational resource needs.
  • Assist in the development and administration of departmental operating and capital budgets.
  • Monitor departmental expenditures, staffing levels, overtime utilization, and purchasing practices to ensure fiscal responsibility.
  • Ensure timely and accurate charge entry, billing activities, and compliance with revenue cycle processes.
  • Review billing, reimbursement, accounts receivable, and operational reports to identify and resolve issues.
  • Collaborate with the Central Billing Office, credentialing, and other departments to support accurate billing and reimbursement.
  • Provide assistance to patients regarding billing questions, outstanding balances, and related concerns.
  • Respond promptly and professionally to patient inquiries, complaints, and service concerns, and escalating issues when appropriate.
  • Coordinate communication regarding provider credentialing, insurance participation, and operational changes.
  • Participate in departmental, organizational, and committee activities focused on quality improvement and operational excellence.
  • Conduct performance evaluations and provide ongoing coaching, guidance, and performance feedback to staff.
  • Address employee relations matters and recommend appropriate corrective action when necessary.
  • Maintain knowledge of applicable regulations, accreditation standards, and organizational policies.
  • Promote and monitor compliance with regulatory, organizational, billing, and operational requirements.
  • Ensure employees maintain required education, certifications, health assessments, and other organizational requirements.
  • Report compliance concerns through established organizational channels.
  • Perform other duties and responsibilities as assigned.

Salary Range: $20.21-29.31/hour Pay is based on experience, skills, and education. Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates. The pay range may also vary within the stated range based on location.
