Position Summary:

The Senior Payroll Specialist is responsible for biweekly processing payroll and related reports; maintaining well-organized payroll records; communicating with Human Resources, staff, managers, IT and software providers to ensure timely updating of personnel records, troubleshooting issues and making timely corrections.

Core Responsibilities:

  • Ensures the organization is compliant with Federal and State payroll tax and wage and hour laws
  • Reconciles payroll processing data and reviews with Payroll Leadership prior to final transmission
  • Reviews various Workday Time Tracking reports for proper submission and manager approvals
  • Works with supervisors and managers to ensure payroll is processed timely and accurately
  • Reviews and reconciles payroll data from HRIS and via payroll input for completeness and accuracy
  • Creates, uploads and validates EIB’s (Enterprise Interface Builder) to source data for correctness
  • Research and corrects timecard discrepancies
  • Prepare on-demand and manual checks as needed
  • Is point of contact for payroll inquiries for internal and external customers
  • Runs the Workday delivered Retro process for payroll
  • Assists with payroll quarterly and yearend reconciliations. Reviews W-2 and 1099’s as needed
  • Respond to and set up Wage Garnishment orders
  • Responds to Federal, State and Local agencies requests for payroll and related headcount data
  • Performs other tasks as assigned

Education and Experience:

  • Bachelor’s Degree in Accounting or Business Administration or related field preferred.
  • Certified Payroll Professional (CPP) preferred
  • 6+ years of payroll experience in a similar capacity in an organization of similar size (>2000 employees)
  • Experience with Workday Payroll and Time Tracking preferred
  • Multistate payroll experience with in-depth knowledge of state wage and hour laws, including California
  • Knowledgeable using ADP Smart Compliance; Employment Tax and Wage Payments
  • Knowledgeable of Equity based compensation plans and Employee Stock Purchase Plans
  • Experience with international employees paid through third party vendors preferred
  • Ability to function independently within a broad scope of guidelines and established policies and goals.
  • Ability to maintain a high level of confidentiality
  • Advanced computer skills with Word, PowerPoint, Excel; experience working with and implementing large-scale automated systems
  • Proven leadership and management ability
  • Strong attention to detail
  • Ability to multi-task in fast-paced environment
  • Knowledge of current Federal, State, and local wage and hour laws and wage garnishment laws
  • Familiarity with the basics of contract law and financial policies
  • Ability to work within and meet required deadlines
  • Ability to build and maintain strong working relationships with all levels of the organization
