HR Support Specialist

The HR Support Specialist helps keep the daily People Support engine running. Payroll preparation, onboarding documents, benefit enrollments, employee changes, password resets, records, and follow-up may appear tactical, but each task directly affects an employee’s trust in the Company and a manager’s ability to lead.

This position is more than administrative support. It is a confidential, detail-driven development role designed to grow with the business. The HR Support Specialist works closely with the Director of Human Resources, learns the reasons behind our controls and practices, and takes on increasing responsibility as knowledge and judgment develop.

Position Summary

The HR Support Specialist provides confidential operational support for payroll, benefits, retirement-plan administration, Paycom, recruiting, onboarding, employee records, leave tracking, workers’ compensation, and separation activities.

This position prepares the Company’s semi-monthly payroll for Director review, processes approved employee changes, maintains control documentation, reconciles benefit and 401(k) activity, supports employees and managers, and ensures recurring HR deadlines are met.

The HR Support Specialist works under the direction of the Director of Human Resources and is expected to grow through hands-on training, stretch assignments, increased ownership, and ongoing development.

Supervisory Responsibilities

This position has no direct supervisory responsibilities. The HR Support Specialist may coordinate recurring HR processes, provide procedural guidance to managers and employees, and support future team members or projects as the role develops.

Essential Functions and Responsibilities

Integrity – Protecting Confidentiality and Getting the Details Right

  • Prepare semi-monthly payroll by collecting approved timecards, reviewing hours and missed punches, entering authorized changes, and producing pre-process reports for Director review.
  • Process approved new hires, pay changes, transfers, promotions, status changes, deductions, direct-deposit changes, garnishments, leave impacts, terminations, and final-pay inputs in Paycom.
  • Maintain complete source documentation, payroll checklists, exception logs, approval evidence, and correction records.
  • Protect employee payroll, benefit, medical, leave, investigation, and personnel information from unauthorized access or disclosure.
  • Escalate unusual transactions, missing approvals, inconsistencies, or compliance concerns to the Director rather than making assumptions.
  • Do not independently release payroll or approve transactions personally prepared.

Community – Providing Reliable Employee and Manager Support

  • Respond respectfully and promptly to routine employee and manager questions regarding Paycom, payroll, benefits, forms, policies, and HR processes.
  • Reset passwords, assist with employee self-service, provide benefit identification cards and resources, and help employees reach the correct vendor when needed.
  • Prepare offer letters, initiate pre-employment steps, create onboarding records, track manager checklists, and confirm required documents are complete.
  • Process employee lifecycle changes and coordinate separation checklists, benefit terminations, required notices, and record closure.
  • Maintain the HR calendar, shared inbox, standard communications, forms, templates, and open-item follow-up.

Engagement – Keeping Paycom, Benefits, and 401(k) Processes Moving

  • Maintain accurate employee records, job information, reporting relationships, locations, cost centers, benefit elections, PTO data, and required documents in Paycom.
  • Support Paycom workflow testing, data audits, reporting, document setup, employee self-service, and process improvements directed by the Director.
  • Track benefit eligibility and process enrollments, life events, terminations, deduction changes, open-enrollment activity, and employee communications.
  • Complete monthly carrier invoice reconciliation by employee, dependent, coverage tier, effective date, employer contribution, payroll deduction, and required credit or correction.
  • Maintain the John Hancock eligibility calendar; verify deductions; prepare contribution support; reconcile Paycom totals to submissions and confirmations; and track missed contributions, rejected records, true-ups, and corrections.
  • Prepare retirement withdrawal and termination support, participant-notice records, and annual compliance files under Director oversight.

Experience – Supporting the Full Employee Lifecycle

  • Coordinate recruiting logistics, applicant communication, interview schedules, assessments, approved offers, and pre-employment follow-up.
  • Support leave and accommodation administration by providing forms, tracking dates, maintaining confidential records, and coordinating payroll and benefit impacts under Director guidance.
  • Support workers’ compensation and SAIF administration, including incident documentation, claim tracking, return-to-work records, and OSHA/safety files.
  • Maintain organized, accurate, and audit-ready personnel, payroll, benefit, retirement, leave, safety, and separation records.
  • Identify recurring questions, errors, or delays and recommend practical improvements to the Director.
  • Participate in training, cross-training, stretch assignments, and development activities designed to expand HR knowledge and responsibility.

Minimum Qualifications

  • Associate degree in Human Resources, Business Administration, Accounting, or a related field preferred; equivalent relevant experience will be considered.
  • Minimum two (2) years of experience in HR support, payroll, benefits, accounting administration, employee service, or another confidential detail-oriented role preferred.
  • Experience with Paycom or another HRIS/payroll platform preferred.
  • Experience working with payroll, employee records, benefits, retirement plans, or multi-location operations preferred.
  • Proficiency with Microsoft Office applications, spreadsheets, email, and document management.
  • Ability to maintain confidentiality and follow established authorization, documentation, and review requirements.
  • HR or payroll certification, or interest in pursuing professional development and certification, is preferred.

Travel

Occasional travel to Company stores and operating locations throughout Oregon may be required for training, onboarding, records, employee support, or Company events.

Physical Requirements

Employees must be able to:

  • Perform prolonged periods of computer, telephone, data-entry, and document-based work.
  • Communicate effectively in person, virtually, in writing, and by telephone.
  • Organize and maintain electronic and physical files and records.
  • Occasionally lift and carry files, supplies, or equipment weighing up to 25 pounds.
  • Travel by automobile and navigate office, retail, warehouse, and yard environments when visiting Company locations.
  • Maintain focus and accuracy while handling interruptions, deadlines, and confidential information.

Working Conditions

This position primarily works in a professional office environment with regular computer, telephone, employee-service, and document-management responsibilities.

The role operates around payroll, benefit, onboarding, and compliance deadlines and may occasionally visit retail stores, warehouses, lumber yards, or other Company locations. Flexibility may be required during payroll processing, open enrollment, urgent employee matters, or major Company initiatives.
