Summary of Position:
The Scheduling Coordinator role is a critical role for Harwell and Cook Orthodontics. We are searching for the right person to be the face of who we are and what we represent from the first hello to the last see you later. As a scheduling coordinator, you will be the most integrated part of our patients’ journeys making each contact the best experience of their day. The role of Scheduling Coordinator is not just critical in our patients’ journeys, but of the team and day to day operations. As a Scheduling Coordinator, you will ensure the patient’s exceptional patient experience and the mastery of our complex and diverse schedule for our team. The simplest, most profound task of each day is the smile you will share to others!
Essential Job Functions:
· Greet every guest by name with a warm smile
· Excel and utilize our diverse schedule between patients, our team and our doctors
· Using the power of customer service through phone calls in different scenarios
· The use of reporting to ensure growth and learning opportunities
· Accepting coaching and feedback in the position with the goal being what is best for our patients and team
· Facilitate conversations and communications between providing offices, doctors, team members and patients with being an advocate for us

Empowerment – You will be the bridge of communication between our amazing patients and exceptional doctors and team. You will be in charge of the schedule, it’s needs and voids while providing the best customer service.
Collaboration – Working with your team members from doctors to scheduling coordinators to ensure we are meeting the goals together for success and patient’s needs.
Job Requirements:
1. High School Diploma – Must have high school diploma or equivalent
2. Age Requirement – Must be at least 18 years of age or older
3. Basic Computer Skills – experience with Windows, Microsoft Office applications, emails, texting, ten-key and hand held phone lines are a must
4. Communication – Amongst your team, doctors, referrals and to the community
5. Positive Attitude – Even in tough situations and conversations, holding a positive outlook
6. Self-Motivated – Finding ways to make the training poured into you is applied to your knowledge and outlook of the position
7. Strong Customer Service – Comfortable with conversation in all age ranges while doing it with a smile and confidence in an even and level tone
8. Multi-Tasking – Ability to pivot, switch gears and complete different tasks simultaneously
9. Physical Agility – Be physically fit for tasks such as bending, lifting 15 pounds, walking and standing consecutively for 30 minutes as needed
