About This Position

PURPOSE OF POSITION

Schedules patients for surgical procedures, pretesting, radiology, cardiology and vascular lab testing. Advises patients of surgical procedure and testing. Coordinates and schedules appointments for surgical procedures, pretesting, radiology, cardiology and vascular lab testing.at the hospital. Cross trained as receptionist as needed to provide proper office coverage.

RESPONSIBILITIES & EXPECTATIONS

  • Coordinate and schedule surgical procedures, pretesting, radiology, cardiology and vascular lab testing and follow-up appointments according to established policies and procedures.
  • Interact with patients, patient families, providers, and other staff within the office and at outside facilities providing accurate, timely and responsive information.
  • Obtain authorization for surgery and/or testing from patient’s insurance company.
  • Provide clinicals and necessary medical records for authorizations as required.
  • Facilitate peer to peer reviews as necessary for prior authorization appeals process.
  • Provide patient with preoperative education.
  • Understanding of electronic charting to include scanning and indexing of all patient records.
  • Cheerfully greets incoming patients and visitors in a prompt and pleasant manner, determines their needs and respond accordingly.
  • Performs patient registration. Check patient in and out on clinic days.
  • Collects, copies and updates personal and financial information (insurance cards, driver's license, etc.) obtained from the patients.
  • Verifies medical insurance coverage and documents information.
  • Collects co-pays for insured patients and provide receipts when warranted.
  • Acts as patient relations representative by answering patient inquiries either in person or on the telephone within the limits of his/her knowledge and medical practice policies.
  • Maintains an accurate file system for insurance eligibility lists and office forms (i.e., return to work; release of medical records, informed consents, prescription pads).
  • Follow-up on patient no-shows; send reminder notices when appropriate. Send letter to referring physician, if necessary.
  • Schedule post-operative/new patient referral appointments.
  • Follow confidentiality and security rules when providing information to outside sources.
  • Maintains an orderly, neat and clean front desk area and waiting room.
  • Managing of daily/weekly schedules for physicians/APRN and send daily email.
  • Answer phones. Triage phone calls within office.
  • Scanning/Indexing of patient records
  • Call for copier/fax machine repairs and supplies.
  • Assists physicians, APRN and RN’s with miscellaneous tasks to keep office running smoothly.
  • Retrieve papers off fax machine and distribute accordingly.
  • Responsible for scheduling post operative and new outpatient consultation appointments.
  • Responsible for taking inpatient consultations from various hospital floors and paging consult to inhouse APRN and physician. This also includes managing surgeons dictated consultation, reminding surgeon as appropriate.
  • To provide clerical support to the office staff to include doctors, APRN and RN’s.
  • Responsible for managing of the surgery board and making sure operative note has been dictated by surgeon and reminding surgeon as appropriate.

  • JOB REQUIREMENTS

    High school graduate or equivalent

    Completion of all annual requirements including but not limited to OSHA, HIPAA, Safety, Employee Health service standards

    Prompt and regular attendance with infrequent absenteeism and tardiness

    Ability to meet and interact with the public in a courteous and professional manner

    Effective interpersonal communication skills

    Ability to work efficiently and accurately under conditions of stress with frequent interruptions

    Must be able to work as a team and independently

    Maintain a positive, friendly, and compassionate attitude

    Must possess the ability to multi-task and work in a fast-paced environment

    Knowledge of medical terminology and insurance practices.

    Knowledge of computer programs and applications.

    Knowledge of CPT and ICD-9 coding.

    WORKING CONDITIONS

    Monday through Friday. No weekends or holidays. Coverage of vacations. Lunch breaks are coordinated with other staff members for adequate coverage.

    May be subject to occasional overtime before or after normal working hours.

    Subject to frequent interruptions and changes in priority of duties throughout the day.

    Subject to frequent moving/standing/sitting during working hours.

    Works in well-lighted and well-ventilated office.

    Expected to adhere to general office policy.

    Will spend majority of day in front of computer terminal entering data, using telephone, fax,

    copier, scanner and printer.

    Expected to adhere to ADHVH policies and procedures.

    Remain calm while multi-tasking

    KNOWLEDGE OF

    Modern operational methods of a surgical practice or willingness to learn, must have a basic understanding of medical terminology, usage of computer systems and clerical equipment, must have a clear understanding of the confidentiality laws that govern the patient/physician relationship.
