People Operations Specialist
As Kpler continues to scale, building strong and efficient People processes is essential to delivering a seamless employee experience. We are looking for a People Operations Specialist to support and optimize our HR workflows while ensuring that day-to-day operations run smoothly and effectively across the employee lifecycle.
You will play a key role in strengthening the operational backbone of the People team, owning systems administration, managing employee requests, driving process improvements, and ensuring compliance. Your work will enable scalability and create a reliable and supportive experience for all employees and managers globally.
Support onboarding and offboarding processes. Manage background checks, new hire documentation, onboarding processes, and leaver administration
Handle operationally the internal movements (e.g., promotions, transfers) in coordination with the People Partners and IT teams. Manage necessary documentation and records updating.
Ensure accurate and timely updates to employee records and documents throughout the lifecycle.
Work alongside the People Partners and Payroll Manager to support employee payroll paperwork
Ensuring accurate records are maintained with regards to leaves, point person for employees on queries, alongside working with outside vendors for leave management when necessary
Support annual performance review cycles, engagement surveys, and other firm-wide HR initiatives
Organize and manage employee support pathways; escalate complex requests to appropriate teams.
Respond to employee queries (e.g., systems, benefits, and policies) and ensure efficient request resolution through Jira or shared inboxes.
Maintain and evolve a People knowledge base to drive self-service and internal team enablement.
Monitor ticket resolution times and maintain SLA performance standards, providing insights for continuous improvement.
Ensure employee data accuracy and integrity across systems, adhering to internal policies and data protection standards.
Draft and issue HR documentation, such as promotion letters and contract variation documents, ensuring accuracy and compliance.
Support HR compliance processes including reporting, audit preparation, and access control.
Assist with annual handbook updates and People policies monitoring and maintenance
Updating courses, reporting and supporting the upload of new content onto internal systems
Propose process enhancements and contribute to People Team projects aimed at improving efficiency, automation, and scalability.
Relevant education or experience, including a degree or a minimum of 2 years in People Operations, HR Administration, or a related field
Knowledge of employment laws and regulations, ideally covering European countries such as Greece, France and Germany will be an advantage
Experience with HR systems, with BambooHR and Culture Amp considered a strong advantage
Proficiency in Microsoft Office Suite, with strong general digital literacy
Excellent organizational skills and attention to detail, with the ability to manage multiple tasks and resolve issues effectively
Strong communication skills in English, both written and verbal, with the ability to support employees and stakeholders across functions and locations. Greek and/or French speaker would be considered an asset
High level of discretion and professionalism, with the ability to handle confidential information appropriately
Proven ability to manage competing priorities, meet deadlines, and work efficiently in a fast-paced environment
