Job Summary

The Mailroom Coordinator oversees the daily operations of the corporate mailroom while supporting various office services to ensure an efficient, well-maintained, and professional corporate environment. This role involves coordinating cross-departmental backup and assisting with facilities.

Duties and Responsibilities

  • Oversee the receipt, sorting, and distribution of incoming mail and packages.
  • Ensure timely processing of outgoing mail, including courier services, interoffice mail, and bulk shipments.
  • Maintain accurate records of all mail and package activities.
  • Manage mailroom security measures applicable to the TIM campus.
  • Develop and implement procedures to ensure smooth operations during absences or peak periods.
  • Manage relationships with courier and shipping vendors to ensure optimal service.
  • Monitor and control mailroom and office services expenses in conjunction with the Facilities Manager to ensure expenses remain within the allocated budget.
  • Train and coordinate backup support for the mailroom as needed.
  • Management of First Choice (vendor) and daily breakroom supplies.
  • Ensure all breakrooms and café are stocked with plates, cups, utensils, condiments, milk, etc. at all times.
  • Ensure cups are clean and replenished in all break rooms, including the café break room. This includes starting and unloading the various breakroom dishwashers throughout the campus.
  • Perform light workspace duties, such as cleaning workstations for new hires or following employee moves or departures, and cleaning of Mailroom and Fitness Center.
  • Maintain shower supplies and oversee the distribution of company-wide dry-cleaning services.
  • Ensure all mailroom equipment (scanners, shredders, print machines, etc.) are functioning properly.
  • Coordinate with vendors for repairs, maintenance, or replacements as needed.
  • Oversee inventory of copy paper in copy rooms.
  • Oversee Shred-It operations.
  • Assist the facilities department with various tasks, requests, or project coordination.
  • Perform other job duties assigned as necessary.
Requirements:
  • Experience in facilities coordination, office supply management, or catering/event support.
  • Familiarity with corporate office environments and customer service best practices.
  • Problem-solving skills with a proactive approach to challenges.
  • College degree preferred with emphasis on Business Administration a plus.
  • Proven experience in mailroom or office services management.
  • Strong organizational and multitasking skills with the ability to prioritize effectively.
  • Proficiency in mailroom equipment, office supply management, and technology solutions.
  • Excellent communication and interpersonal skills.
  • Proficiency in Outlook, Excel, Word, Power Point
