Position Overview

The Sales Coordinator supports the Sales Department by coordinating sales activities, managing administrative tasks, and assisting Sales Managers in achieving revenue goals. This role serves as a key liaison between Sales, internal departments, and clients, ensuring efficient sales operations and exceptional service within a full-service hotel environment.

What You'll Do

Sales Administration & Coordination

  • Provide administrative and operational support to the Sales team.
  • Prepare and distribute sales contracts, proposals, correspondence, and reports.
  • Maintain accurate and organized sales files and documentation.
  • Coordinate calendars, meetings, and appointments for Sales Managers.

Sales Systems & Data Management

  • Enter and maintain accurate data in sales and CRM systems.
  • Track leads, bookings, and follow-up activities.
  • Generate sales activity reports and performance summaries.
  • Ensure accuracy and completeness of sales records.

Client & Internal Support

  • Assist with responding to client inquiries and routing requests appropriately.
  • Coordinate site inspections, client tours, and sales events.
  • Communicate effectively with internal departments regarding sales-related details.
  • Support coordination between Sales, Catering, Revenue Management, and Operations.

Contract & Document Processing

  • Assist with preparation, processing, and tracking of contracts and agreements.
  • Ensure proper approvals and signatures are obtained in accordance with policy.
  • Monitor contract status and maintain updated records.
  • Support compliance with hotel sales procedures and brand standards.

Department Organization & Support

  • Maintain organization of the Sales office, supplies, and equipment.
  • Assist with preparation for sales meetings, presentations, and trade shows.
  • Support onboarding and training coordination for new Sales team members.
  • Assist with special projects and departmental initiatives.

Additional Responsibilities

  • Maintain confidentiality of client and business information.
  • Perform other duties as assigned to support Sales Department operations.
  • Maintain reliable and consistent attendance as an essential function of the job.

What You'll Bring

Required Education & Experience

  • High School Diploma or equivalent required.

Preferred Education & Experience

  • Previous sales coordination or administrative experience preferred.
  • Experience in hotel sales or hospitality environments preferred.
  • Associate's or Bachelor's degree in Business, Hospitality, or related field preferred.
  • Experience with CRM or hotel sales systems preferred.

Required Skills and Abilities

  • Strong organizational and administrative skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple tasks and meet deadlines.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Ability to work collaboratively with cross-functional teams.
  • Ability to maintain confidentiality and professionalism.
